Priced quantities and purchase lists from the model

The 3D design is the quote. Everything in it, from paint litres and tile boxes to lights, curtains and furniture, becomes estimate lines. You also get a purchase list by supplier and the work by trade with quantities and value. The design is also checked against the site measurement.

Why it matters

In most studios the 3D design and the quote are made by different people in different tools. The client approves a render, the estimator re-counts the rooms in a spreadsheet, and the two drift apart with every change. Paint, tiles, false ceiling metres and curtain fabric are where the money leaks, because they are counted by rule of thumb. In SmartMy Interiors the quantities are taken from the same model the client walks through, with wastage, and priced from your own rates. Change the design and the estimate, the purchase list and each trade's work change with it.

The problem it solves

  • The estimator re-measures every room from the design in a spreadsheet, and the quote is ready two days after the meeting.
  • Tiles, paint and wallpaper are ordered by rule of thumb; the site runs short or the store fills with leftovers.
  • The carpenter, painter, electrician and tiler each get their scope by phone, so work is missed or done twice.
  • The design is drawn on old measurements, and the wardrobe does not fit the wall that was re-plastered.

How it works

  1. Design the rooms in 3D. Each piece and finish already shows its quantity and price in the panel, and each room and the design show their totals.
  2. Press Make Estimate on the design. You get a section per room and a line per box with its sizes and materials. Each finish, ceiling, light, piece and curtain gets a line with its trade.
  3. Print the Purchase List: everything to buy, added up across rooms, in the unit it is bought by. It shows wastage, cost and the rooms it goes to. It is grouped by supplier through Suppliers by Brand.
  4. Print Work by Trade: carpentry, modular boxes, false ceiling, electrical, painting, tiling and flooring, glass and partitions. Also soft furnishing, loose furniture, decor, plumbing and civil, room by room with quantities and value.
  5. Press Check against the Site: each room's height, wall lengths and the place and size of doors and windows are compared with the measured sheet. Differences over 20 mm are listed and kept on the design.
  6. Lock the design for production. A work plan made from a template is sized from the same trades where the approved estimate does not say.

Everything it does

What is counted

  • Joinery boxes by box type with their fittings inside (the 3D designer, from Growth)
  • Paint in litres from coverage and coats; wallpaper in rolls from strips and repeat. Mouldings and skirting in running metres; tiles and planks in m², pieces or boxes
  • False ceilings in m², running metres of edges and of cove
  • Lights by the piece, strips by the metre, switches and sockets by type
  • Feature walls by m² of panel, units and m² of front, metres of shelf and LED
  • Furniture by the piece, made to measure from materials and labour, or bought
  • Curtain fabric, lining and sheer in metres, tracks in metres, blinds in m²
  • Decor, appliances and bathroom pieces by the piece, shower glass by the m², ducts by the metre
  • The outside: stairs, railings, facades, garden and site structures, under Outside and the Site

Wastage and rates

  • Wastage %: the finish's own, else the material's, else the kind's (paint 5, wallpaper 15, tiles 10, planks 8 to start with)
  • Rates and costs from your catalogues, in the entity's currency; the starter rates are samples
  • A chequer's second tile, a border and the skirting are lines of their own
  • Cost columns for managers only

The estimate

  • A section per room, with Soft Furnishing, Decor, Glass and Partitions and Outside and the Site among the sections
  • Stage Final for a locked design, After Site Measurement otherwise
  • New Version of the design copies everything; a deleted design takes its lines

Purchase list

  • Grouped by supplier through Configuration > Materials and Boxes > Suppliers by Brand; what has no brand is under Supplier not set
  • Code, quantity with wastage, cost and the rooms it goes to; brand and model number for bought pieces
  • A printed PDF: purchase orders are raised in Purchasing, not made from the list in one step

Work by trade and the work plan

  • 14 trades: civil, false ceiling, electrical, plumbing, carpentry, modular / boxes, painting, tiling and flooring, glass and partitions, loose furniture, soft furnishing, decor, services, other
  • Subcontract work orders by trade take the estimate's lines
  • The work plan's template trades are sized from the locked (else approved) design where the approved estimate does not say

Check against the site

  • Room height, every wall's length, each door's and window's place and size against the measured sheet
  • Site Check Tolerance (mm): 20; differences over it listed and kept on the design's history

Questions

Is the estimate final once it is made from the design?

It is a normal estimate: you can edit lines, add items the design does not hold, and send it. Made from a locked design it starts at stage Final.

Does the purchase list make purchase orders?

Not by itself. It is a printed list by supplier; you raise the orders in Purchasing.

Why is everything under Supplier not set?

The starter catalogues carry no brands. Fill in each item's brand and say who sells each brand in Suppliers by Brand; the list then groups by supplier.

Are the starter rates real market prices?

No. They are sample rupee rates to show how pricing works. Change them to your own before you quote.

Has it been tried at a customer?

Not yet. It has been checked on our demo: three homes designed, estimates made from the designs, both lists printed and the site check run.

ESTIMATING AND SELLINGEstimates with rooms as sectionsThe detailed quote, laid out room by room. Modular boxes are priced from your materials, work such as false ceiling or painting comes from your rate library, and other lines are typed. The client approves it on a web page, and each new version tells them what changed.DESIGN STUDIOWall finishes and floors in the designerPaint, wallpaper, panels, cladding, mouldings and tiles go on the walls of the 3D design. Tiles, stone, planks or carpet go on the floors in their laying pattern. The litres, rolls, boxes and square metres are worked out with wastage and priced into the estimate.MEASURE AND MAKESite measurement by room, wall and openingYour measurement team records every room in mm: walls, ceiling height, doors, windows, beams and service points, with photos. They work on the web or in the Site app, also without signal. A manager approves the sheet, and its rooms go straight into the 3D design.MEASURE AND MAKEPurchasingOrder the furniture, lights and fittings the client approved from their vendors in one step: one purchase order per vendor and project. The vendor confirms and gives ship dates and tracking on their own page, late deliveries are flagged, and nothing is received without an inspection photo.PROJECTSWork plan and subcontract work ordersPlan the site work from your template and the approved estimate, with dates, the critical path and a Gantt. Give carpentry, false ceiling or painting to subcontractors on work orders at their rates. Each box shows in 3D with its materials, its price and anything wrong with it. The client turns the design on their phone, tries other material sets with their prices, and approves.
