Estimates with rooms as sections

The detailed quote, laid out room by room. Modular boxes are priced from your materials, work such as false ceiling or painting comes from your rate library, and other lines are typed. The client approves it on a web page, and each new version tells them what changed.
PLANSEvery plan

The problem it solves

  • Every estimator prices a kitchen differently, and the margin is only known after the job.
  • The client gets a long PDF and cannot see what changed between the second and the third version.
  • The client says yes on the phone and later disputes what was agreed.
  • Old material rates stay in the quote after your supplier raised prices.

How it works

  1. Start an estimate from an enquiry (Estimate), an instant quote (Make Estimate), a 3D design (Make Estimate), or Interiors > Sales > Estimates > New. The rooms come in as sections.
  2. Pick the material set, the units the sizes are typed in, and a discount if any.
  3. In each room, add lines. A Box: pick its use, such as Kitchen Base, and the size, shutters and materials fill in and the price is worked out. A Rate Item from your rate library, with its unit and price. Or Other, typed in.
  4. Change any size, part or option of a box and the price follows. A size or finish your rules do not allow shows under Refused.
  5. Press Send to Client. The client gets Please Decide with a link, sees every room with its lines and the total, and approves or asks for changes.
  6. Approved, the project's value becomes the estimate's total. For more changes, press New Version: when it is sent, the client reads what changed, room by room.

Everything it does

The estimate

  • Client, project and enquiry
  • Estimate Stage: First Estimate, After Site Measurement, Final
  • Date (the material rates of that day are used) and Valid Until
  • Materials: a material set for every box
  • Sizes In: mm, inch or ft (ft to start with)
  • Discount %, Prepared By, a note for the client
  • Totals: Before Discount, Discount, Total; Cost and Margin tab with cost, margin and margin % for managers

Lines in each room

  • Box: use, box type, width, height, depth, shutters, or the options of a simple-rate box. Also each part's material (carcass, back, shutter core, shelves, finish, inside finish, edge, hinges, handles, runners)
  • Per Front Area: the box's price per m² or ft² of front, for sales talk
  • Refused: the reason a size or finish is not allowed
  • Rate Item: from the rate library, with unit, price and cost
  • Other: description, quantity and price typed in
  • Notes between lines

Rate library

  • Sections: Civil, False Ceiling, Electrical, Plumbing, Carpentry, Modular, Painting, Flooring, Glass and Partitions, Loose Furniture, Soft Furnishing, Decor, Services, Other
  • Units: ft², m², running ft, running m, piece, point, roll, job
  • Rate to the client and our cost per unit; per entity or for all
  • The section also groups work for subcontract work orders and the work plan

Buttons on a draft

  • Apply Materials: every box takes the chosen set, its own choices cleared
  • Price Again: at the material rates of the estimate's date
  • Send to Client: refused while a line is refused or there are no lines
  • Approved in Person: for a client who signed on paper

The client and versions

  • Status: Draft, With the Client, Approved, Changes Asked, Replaced
  • Decision page: rooms, each line with its size and main materials, discount, total, your note, and what changed
  • Changes asked: the client must say what; the preparer gets a to-do; Back to Draft or a new version
  • New Version copies a sent, approved or changed estimate as the next draft with today's date; the old one becomes Replaced
  • What Changed: per room, lines added and dropped and the change in money, then the old and new totals
  • Filters Current, With the Client, Approved; group by stage or status

After approval

  • The project's Project Value becomes the estimate's total
  • On an enquiry: the expected value, and the project is made when your setting says When the Client Approves the Quote
  • Work Order for a Section: a draft subcontract work order with that section's lines at our cost rates (managers)
  • Plan from Template takes only the work in the approved estimate

Questions

Can the client see our cost and margin?

No. The client sees each line's size, main materials and price, the discount and the total. Cost and margin are on the Cost and Margin tab for managers.

Can we change an estimate after sending it?

Make a new version. The sent one is kept as Replaced, and the client sees what changed in each room and the new total.

What if our supplier raises the board rate?

Add the new rate with its start date on the material. Estimates dated from then use it; press Price Again on a draft to update it.

Is GST or VAT shown on the estimate, and is there a PDF?

Not yet. The estimate carries prices without tax, the discount and the total; tax is worked out on the invoices of the payment plan. The client reads the estimate on its web page; a printed PDF of the detailed estimate is not built.

Which plan has it?

Every plan, Starter, Growth and Scale. Making it from a 3D design needs the 3D designer, from Growth.
