Enquiries, follow-ups and site visits

Every lead from WhatsApp, Instagram, a walk-in or a referral stays an enquiry while you visit, take the brief and quote. It keeps the property, rooms, budget and follow-up date. The booking payment turns it into a project with its rooms and team.
PLANSEvery plan

The problem it solves

  • Leads sit in WhatsApp chats and a notebook, and nobody knows who was called back.
  • The designer goes to a site visit without the address, the carpet area or what the client asked for.
  • A lead becomes a project and the rooms, sizes and budget are typed in again.
  • Lost leads are never looked at again, and nobody can say which source brings real jobs.

How it works

  1. Note the enquiry in Interiors > Sales > Enquiries, or in the SmartMy Interiors app. Add the name, phone, source, scope, carpet area, budget and rooms with sizes.
  2. The board shows each enquiry under its status, with a pill for the follow-up: Call today, or Follow-up 3 days late. Hot enquiries come to the top.
  3. Press Contacted after the first call, then Book Visit. The visit form opens with the designer and the address filled in.
  4. On saving, the client gets the date, time, address and designer's name by email and WhatsApp. The designer is told in the app.
  5. After the visit the designer writes What We Found, quick sizes and photos, and presses Done. The enquiry moves to Visited.
  6. Send an instant quote or an estimate; the enquiry moves to Quoted. Press Booking Received with the amount, and the project is made with the client, rooms in scope, styles and team.

Everything it does

The enquiry

  • Source: WhatsApp (the default), Instagram, Facebook, Website, Walk-in / Showroom, Phone Call, Referral, Builder Tie-up, Marketplace, Event / Exhibition, Other, with a Source Detail line
  • Kind of Place: Home, Office, Shop / Showroom, Hotel / Restaurant, Other
  • Scope: Full Home / Place, Kitchen and Wardrobes, Kitchen Only, Some Rooms, Fit-out, Custom
  • Building / Project, address, city, carpet area in m² or ft², bedrooms, Possession / Ready By
  • Property Type fills itself from the carpet area and bedrooms
  • Budget (what the client says) and Expected Value (your figure; a sent quote fills it)
  • Sales Person (you, by default), Designer, Follow Up On, priority Normal or Hot
  • Rooms tab: each room with its use, length, width, area worked out and In Scope
  • Styles the client likes, and notes

Statuses and buttons

  • New > Contacted > Visit Booked > Visited > Quoted > Booked, or Lost
  • Only the next step shows as the main button: Contacted, Book Visit, Booking Received
  • Lost needs a Lost Reason; Reopen takes a lost enquiry back to Contacted
  • Buttons at the top open what is already made: Quotes, Brief, 3D Designs, Estimates, CRM, Project
  • A client who picks a package or asks for a visit on an instant quote page makes the enquiry Hot. The follow-up is set to today, with a to-do for the sales person

Site visits

  • Purpose: First Visit, Measurement, Design Review, Other
  • When, duration in hours (1 to start with), Visited By, address; a visit can also belong to a project
  • What We Found, Sizes (quick sizes; the full sheet is the site measurement), Photos and Plans
  • Planned, Done or Cancelled; Done moves the enquiry to Visited and sets the visitor as its designer if it had none
  • Changing the time or the person tells the client and designer again, marked New time
  • Calendar by week, coloured by designer, with Mine and Planned filters

Booking and the project

  • Booking tab: Booking Received (amount), Booking Date, Booking Reference
  • Usual Booking: the expected value times the entity's Booking % (10 to start with); a smaller booking is noted on the enquiry
  • Make the project: When the Booking Payment Is Received (the default), or When the Client Approves the Quote. Or By Hand with Make Project (Interiors Managers only)
  • The project takes the client (a contact is made from the name, phone and email if needed). It takes the kind, scope, property type, area, styles, possession date and address. It also takes the expected value as Project Value, the rooms in scope, and the sales person and designer as team leads
  • Visits, briefs and estimates of the enquiry move to the project; with payment plans, the first plan's booking milestone is marked received

Lists and reports

  • Filters: Mine, Open (the default), Hot, Follow Up Due; group by status, source, sales person or property type
  • Interiors > Sales > Reporting > Enquiries: a graph and pivot of enquiries by source and status, with the expected value
  • Sales staff see enquiries where they are the sales person or designer, ones they made, and ones with no sales person; managers see all

With CRM

  • Make Interiors Enquiry on a CRM lead, or by itself when the lead reaches a CRM stage you pick. An enquiry typed in joins the person's open lead or opens one
  • The lead moves forward when quoted, is won when the enquiry is booked and lost when it is lost. A lead lost in CRM marks its enquiry lost

Who uses it

Sales personNotes enquiries, calls back on the follow-up date, books visits, sends quotes and records the booking.
DesignerGoes on the site visit, writes what was found with sizes and photos, and takes the brief.
Interiors ManagerSees every enquiry, reads the source report, and makes the project by hand when the setting asks for it.
ClientGets the site visit's date, time, address and designer's name by email and WhatsApp.

Where you use it

  • Web: Interiors > Sales > Enquiries (board, list, form), Site Visits (calendar, list) and Reporting > Enquiries
  • The SmartMy Interiors app: open enquiries (Mine or Everyone), new enquiry, call, book a site visit. Mark it done with notes, sizes and photos; My site visits. Built and in testing, not in the app stores yet
  • WhatsApp and email: the client's visit message
  • Not on a client page: the client does not see the enquiry itself

What you control

Settings

  • Make the Project: When the Booking Payment Is Received (the default), When the Client Approves the Quote, or By Hand
  • Booking %: 10 to start with
  • Interiors Units: Imperial (ft²) to start with, or Metric; a country pack sets it
  • With CRM: Enquiries as CRM Opportunities (on) and the stage that makes an enquiry (empty). Also the stages the lead moves to when it has an enquiry and when quoted

Notifications

  • Site Visit Booked: to the client when a visit is booked or moved, by email and WhatsApp
  • Site Visit for You: to the designer when someone else books or moves their visit, in the app and as a phone notification
  • Both go out at once; a person can switch off a channel such as email, not the message itself

Questions

When does an enquiry become a project?

To start with, when you press Booking Received with the booking amount. You can change it to when the client approves a quote, or by hand, where an Interiors Manager presses Make Project.

Do we type the rooms again on the project?

No. The rooms marked In Scope, with their sizes, become the project's rooms, and the sales person and designer become its team leads.

Can a lost lead come back?

Yes. Press Reopen and it goes back to Contacted. Marking it lost needs a reason, so you can see later why leads were lost.

Do leads from WhatsApp come in by themselves?

An instant quote made from a chat makes or finds the enquiry by itself. With SmartMy Marketing's inbox and CRM, a lead becomes an enquiry with a button or at a CRM stage you pick. A plain WhatsApp message alone does not make an enquiry.

Which plan has it?

Every plan, from Starter.
