Manager app with alerts

SmartMy Feast Manager puts the mess or canteen on the manager's phone. It shows today's and tomorrow's meals with the forecast, prepared against served with the reasons, and money and food cost. Also ratings, approvals and the week's menu. Its screens sit in the Menu under the same areas as the web.
PLANSScale only
Built and in testing, not in the app stores yet. Phone push is built in and waits for the apps' push service to be set up.

The problem it solves

  • The mess manager finds out at 2 pm that lunch ran short for 50 students.
  • Promotions and guest meals wait two days because the approver is not at a desk.
  • Food cost is known only when the accountant closes the month.
  • A sudden exam or holiday changes the headcount, and the kitchen hears too late.

How it works

  1. The manager signs in with the web login. The app opens on Today (Planning > Headcount on the web). A manager of several outlets taps the outlet chips on top.
  2. Each meal of today and tomorrow shows Prepared for, Served so far and Booked, with plan members, walk-ins and the manager's own correction.
  3. Tap Correct and type people more or fewer, such as 20 or -15, for an exam or rain. Count again takes in new answers and opt-outs; the correction stays.
  4. Under Selling > Refunds and Charges > Counter Approvals, approve or refuse promotions, meals on the house and purchase requests. See what was given on the house or discounted in the last 7 days.
  5. Under Reports, Prepared and Served shows each meal's consumption with the reasons and who did not come. Meals and Money per Day shows revenue, food cost and margin.
  6. Under Menus > Daily Menus, add, remove or reorder dishes of a coming day, publish it, or mark it Not served with a reason.

Everything it does

Today (Planning > Headcount)

  • Meals of today and tomorrow: Prepared for (the forecast), Served so far, Booked
  • The forecast's three parts: plan members eating, the usual walk-ins of the weekday, the manager's adjustment
  • Came: plan meals, token meals and walk-in bills
  • Make the forecast, Count again, Correct (kept as the forecast's Adjustment)
  • A row on top: how many wait for a decision, and the discounts and items on the house of the last 7 days

Prepared and Served (Reports)

  • 7, 30 or 90 days; totals of Prepared for, Served and Consumption, and the value of leftovers
  • Red above 105 %, amber under 90 %
  • Why: the reasons in words, such as plan members who did not come without opting out
  • Who did not come, by name, with how often each was missing in the two weeks before
  • Dish by dish: forecast, cooked, sold and left, most left first
  • Your note on a meal, kept when the figures are rebuilt

Money, ratings and menu

  • Meals and Money per Day: Revenue, Food cost, Food cost %, Margin, Per plate, Leftovers discarded, Voided after cooking, and one line per day
  • Meal Ratings: the average in stars, the count, the comments with their stars, and the average per meal
  • Daily Menus: the coming week; Add a dish, Move up, Remove, Published, Not served with Why
  • A menu changed in the app is no longer rebuilt from the menu cycle

Who can use it

  • Managers of an outlet or of the kitchen that cooks for it, Kitchen Managers, Supervisors, Accounts and Food Administrators
  • Food Administrators and Accounts see every outlet of their Entities; others see the outlets they manage
  • Approve and Refuse buttons show by role: food administrators, and purchase officers for purchases

Where you use it

  • SmartMy Feast Manager on iPhone and Android: Today on opening; Selling, Menus, Planning and Reports in the Menu; My approvals for other products. Built and in testing, not in the app stores yet
  • Web: the same records under Food Service > Planning, Reports, Menus and Selling
  • Not in the app: approving indents, stock counts, wastage and mess fee structures; those are in the back office or the Store app
  • Not in the app: a chain level that names other people than food administrators or purchase officers; decide those in the back office
  • Not built: phone push delivered today; until it is switched on, the row on Today shows what waits

What you control

Settings

  • Who manages each outlet and kitchen: on the outlet and the kitchen
  • The forecast's adjustment per meal: from the app or the back office
  • Thresholds of a meal far from the forecast: above 105 % or under 90 % (fixed)

Approvals

  • Promotion and Guest meals: food administrators to start with
  • Purchase request: above 5000 to start with, purchase officers and food administrators

Notifications

  • Food: Promotion to Approve, Food: Meals on the House to Approve, Food: Purchase Request to Approve: to the approvers of the level. Opening one goes to Counter Approvals in the app
  • Food: Meal Far from the Forecast: each morning, to the outlet's managers. It covers each meal of yesterday served above 105 % or under 90 %, with the main reason
  • Food Temperature Out of Range, Food Safety Check Failed, Food Counter Sync Conflict and Food Diet or Allergy Reported to the managers concerned
  • All transactional; in the back office inbox and by email; app push is built in and not switched on yet

Questions

Will I get a phone alert when lunch runs short?

Not as a push yet. The alert for a meal far from the forecast comes by email and in the inbox the next morning. Push is built into the app and is switched on once its push service is set up.

Can I change tomorrow's menu from the phone?

Yes. Open Daily Menus, add or remove dishes, and switch Published on. That day is then no longer rebuilt from the menu cycle.

Can I see who did not come?

Yes. Open a meal in Prepared and Served and tap the line of people who did not come. Each name shows how often they missed in the two weeks before.

Can a kitchen manager approve purchases in the app?

Only food administrators and purchase officers get the buttons. Others see the request and decide nothing there.

Which plan has it?

Scale, because its figures come from production, stock and the nightly statistics.
