Diner web portal with online top-up

Students, staff, residents and parents open one Food page in any browser. They answer meals, vote, rate, book a meal, print its slip, see two weeks of menus and top up the wallet online.
PLANSFrom Growth

The problem it solves

  • The mess office spends the morning answering calls about balances and tomorrow's menu.
  • Parents queue at the cash counter to put money on a child's card.
  • The kitchen cooks for everyone because nobody says in time that they will be away.
  • Feedback about a bad lunch reaches the manager a week later, on paper.

How it works

  1. The diner signs in on your organisation's web address and clicks the Food card on the portal home (Menus, meals, wallet and top-up).
  2. Someone who looks after several people, such as a parent of two, picks one from the list. Each person has their own page, wallet and limits.
  3. Under Are you eating?, the diner clicks Eating or Not eating for each coming plan meal, and picks a combo where the kitchen offers one. Answers can change until the cut-off.
  4. Under Meals booked, Book a meal lists the meals of the next 7 days still open for booking. The diner types how many of each item, pays from the wallet or online, and prints the slip.
  5. In the Wallet box, the diner types an amount of 10 or more and clicks Top up online. The payment page opens; the wallet is credited once when the payment is confirmed.
  6. After a meal, How was it? asks for one to five stars, a thumbs up or down per dish and a comment, within three days.

Everything it does

The boxes on a person's page

  • Name, points and badges, and Spend your points (with points and badges)
  • Are you eating?: coming plan meals until their cut-off, with the combos of the meal
  • Vote: open menu polls; the counts show after voting or when the poll closes, as the kitchen chose
  • How was it?: meals served in the last 3 days, rated once each
  • Meals booked: bookings with Print the slip and Cancel, and Book a meal
  • Wallet: the balance, Top up online and the last 10 entries
  • Meal plans and tokens: each active plan with its outlet and end date; each token with its code and what is left
  • Menu: the published menus of the next 14 days for the outlets of the person's active meal plans
  • Spending limits: for parents only
  • A box shows only when the outlet uses that part and there is something in it

Booking a meal

  • At outlets that take bookings, for the next 7 days, before each meal's booking cut-off
  • Items at the price of the person's customer type
  • Paid From the wallet, or Pay online now; with points, the points pay first and the rest comes from the wallet or online
  • The booking is made when the online payment is confirmed; if the cut-off passed meanwhile, the money stays in the wallet
  • The slip: an A6 PDF with the outlet, name, meal and day, items, a QR code, the booking number and a code
  • Cancel before the cut-off: the money goes back to the wallet

Online top-up

  • Through the payment provider your organisation sets up in the back office, such as a UPI or card gateway
  • Smallest top-up: 10
  • Credited once when the provider confirms; a payment made twice is credited twice, never lost
  • Each top-up has a reference, the person it is for and who paid it; listed for the office under the wallet's top-ups
  • With Scale accounting, a payment already recorded by Accounting is not counted twice in the day's entry

Who can open a page

  • The person, when they are a food customer or have a wallet
  • Each contact listed in the person's Menu Sent to, such as a parent; with SmartMy Campus the father, mother and guardian are added by themselves
  • Anyone else is sent back to the list; No food account is linked to you yet tells someone with nobody to look after

Who uses it

Student, staff member or residentAnswers meals, votes, rates, books, tops up and reads the menu.
Parent or guardianDoes all of that for each child, and alone sets the child's spending limits.
Food service officeSets up the payment provider, links parents through Menu Sent to and reads the top-ups.
Kitchen and outlet managerGets the answers in the headcount, and the ratings and comments.

Where you use it

  • Web portal: the Food card, at /my/food, on a computer or a phone browser
  • The SmartMy Feast app: the same things, plus buying a meal plan
  • Not on the portal: buying or renewing a meal plan; that is in the app or at the office
  • Not on the portal: the menu for someone without an active meal plan; the Menu box lists only the outlets of the person's plans
  • Not built: reporting diet and allergies on the portal; that is in the app or through the office

What you control

Settings

  • Payment provider for online payments: set up once by your organisation; without one, Top up online and Pay online now do not work
  • Per outlet: takes bookings, booking cut-off per meal, polls and their result rule, ratings, points
  • Menu Sent to on each customer: who looks after them on the portal

Notifications

  • Food Wallet Top-up: to the person the wallet belongs to, after each top-up. In the app inbox and by email, WhatsApp and SMS from your message credits
  • Food Booked for a Customer: to those the outlet names under Told of a Booking, when a parent books for a child
  • Each of these goes out at once; a person can switch off a channel such as email, never the message

Works with

SmartMy CampusParents on the student record get the child's Food page by themselves.
SmartMy DeskA low rating with a comment opens a helpdesk ticket for the outlet.

Questions

Can a parent top up a child's wallet from home?

Yes, once your organisation has set up a payment provider. The parent opens the child's page, types the amount and pays. The wallet is credited when the provider confirms the payment.

Has online top-up been used with real money?

Not yet. It is built on the standard payment providers and tested on our test systems. We set up and try your provider with you before go-live.

Can someone see the menu without a meal plan?

Not on the portal. The Menu box lists the outlets of the person's active meal plans. Diners who pay per item see dishes and prices at the counter and on the menu board.

Can a booking be cancelled?

Yes, before the meal's booking cut-off. Click Cancel next to the booking; the money goes back to the wallet.

Can diners buy a meal plan here?

Not on the web page. They see their plans and tokens here, and buy or renew a plan in the SmartMy Feast app or at the food service office.
