Cash, card and UPI payments

Take cash, UPI and card at the counter, along with the wallet, tokens and the other payment modes your outlet allows. UPI shows a QR code for the exact amount, and every payment goes to its own journal for the day's takings.
PLANSEvery plan

The problem it solves

  • The cash box, the UPI app and the card slips never add up to the day's sales.
  • Customers wait while the cashier types the amount into a UPI app.
  • Nobody can tell which counter took which UPI payment.

How it works

  1. Under Food Service > Configuration > Billing > Payment Modes, check the modes you use and give each its journal.
  2. On the UPI mode, fill in your UPI ID and payee name.
  3. On each outlet, choose which payment modes it accepts, and for which customer types.
  4. At the counter the cashier taps a payment button. Cash opens the drawer. UPI shows a QR code for the amount.
  5. The cashier confirms once the money is in. The payment is recorded with its mode, counter, shift and cashier.
  6. At shift close the cash is counted against what the system expects, and the takings by mode go to accounting.

Everything it does

Payment modes

  • Cash, UPI, Card, Online Payment, Wallet, Fee Ledger, Payroll Deduction, Customer Account, Coupon, Complimentary
  • Each mode has a kind, a journal and the customer types that may use it
  • Wallet, Fee Ledger, Payroll Deduction and Customer Account need a known customer
  • Fee Ledger needs SmartMy Campus fees and Payroll Deduction needs SmartMy HRMS payroll

UPI

  • The tablet shows a QR code with your UPI ID, payee name and the exact amount
  • The customer pays from any UPI app and the cashier confirms on seeing the money
  • The cashier can type the UPI reference; it is optional
  • The QR code can also print on the receipt
  • Not built: automatic confirmation from the bank; the cashier confirms each UPI payment

Card

  • Without a linked card machine, the cashier runs the card on the bank's machine and taps Card
  • No slip number is typed for such a card payment on the Sell tab
  • With a linked card machine (Growth), the amount is sent to it and the approval comes back (see Card machine link)

At the counter

  • One payment mode per sale on the Sell tab
  • Table bills (Growth) take several modes and part payments, and print a bill before payment
  • Change due is shown for cash
  • In the back office, Pay on an order takes any allowed mode with a reference

Takings

  • Each payment is tied to the counter, the shift and the cashier
  • The shift close counts cash against the expected amount, by denomination
  • With Scale, the day's takings by mode post to their journals in the daily accounting entry

Questions

Does UPI confirm by itself?

No. The tablet shows a QR code for the exact amount. The cashier confirms once the money shows in your UPI app or bank.

Can a customer pay part by cash and part by UPI?

On table bills in Growth, yes. On the Sell tab one sale is paid one way.

Do we need a card machine to take cards?

No. Use your bank's machine and tap Card. A linked card machine, in Growth, sends the amount and brings back the approval.

Where do the takings go in the books?

Each mode has its journal. With Scale, the daily accounting entry posts the takings by mode.

It covers money taken by mode, wallet and plan advances, revenue as meals are served. Also subsidy and complimentary meals by cost centre, taxes, and, if you choose, food cost and wastage.TABLE SERVICE AND KITCHENReceipts and token slips on thermal printersThe counter tablet prints receipts, token slips and kitchen tickets on network thermal printers that take ESC/POS.
