Terms the buyer accepts before paying

Entry rules, age limits and refund terms are shown on the event page and the order form. The buyer ticks that they accept them before paying, and the order keeps the text exactly as it was accepted.
PLANSEvery plan

The problem it solves

  • A buyer says nobody told them the event was for adults only.
  • Refund rules sit on a poster, and a parent asks for money back the night before.
  • The terms changed after the sale, and nobody can show what the buyer agreed to.

How it works

  1. On the event, write the terms on the Terms tab: entry rules, age, what is not allowed.
  2. On Growth and Scale, the tab is Terms and Refunds and also holds the refund rules.
  3. The event page shows the Terms, and the order form shows them again with the box I have read and accept the terms.
  4. The order cannot be placed until the box is ticked. The order keeps that it was accepted, when, and the text as it was.
  5. Organisers see it on the order's Terms tab and in the Buyer List.

Everything it does

What is shown

  • The Terms box on the event page and on the order form
  • On Growth and Scale, the refund terms too: Not Refundable, or Refundable until some hours before (24 to start with), with any fee kept
  • The box to tick shows only when the event has terms

What the order keeps

  • Terms accepted and when
  • Terms as Accepted: the text at that moment; changing the event's terms later does not change it
  • Refund Terms as Shown, on Growth and Scale

Where you see it

  • The order's Terms tab
  • Buyer List: one line per paid order with the terms accepted, when, and the refund terms
  • The ticket list for organisers; gate staff do not see the buyer's details

Where it is not asked

  • Counter sales: the seller takes the sale in person
  • Complimentary tickets and passes issued by the office

Who uses it

Event organiserWrites the terms of their events and reads what each buyer accepted.
BuyerReads the terms and ticks that they accept them before paying.
Event managerChecks the Buyer List when a dispute comes up.

Where you use it

  • Web: the Terms (or Terms and Refunds) tab of the event; the order's Terms tab; Events > Reports > Buyer List
  • The event pages and the order form
  • The SmartMy Events app: I accept these terms before Continue (built and in testing, not in the app stores yet)
  • Not at the counter: terms are not asked there

What you control

Settings

  • Terms: empty to start with (no box to tick)
  • Refund Terms (Growth and Scale): Not Refundable; Hours before the Session 24 when refundable

Questions

Can I prove what a buyer agreed to?

Yes. Each order keeps the terms text as it was when the buyer ticked the box, with the date and time.

If I change the terms, do old orders change?

No. Old orders keep the text they accepted. New orders take the new text.

Can I export who accepted?

Yes. The Buyer List shows the terms accepted and when for each paid order, and can be exported to a spreadsheet.

Are refund rules part of the terms?

On Growth and Scale the refund terms are shown with them and kept on the order. On Starter, write any refund rule in the terms text.
