Sales alerts: sold out and slow sales

The organisers of an event are told once when a session sells out. They are told once more when a session has sold less than a share you set a few days before it. Nothing to watch: the message comes to them.
PLANSFrom Growth

The problem it solves

  • The organiser learns the show is sold out when parents complain the Buy button is gone.
  • Nobody notices that the second show has sold a handful of seats until the week of the event.
  • Someone refreshes the sales figures every evening to see where things stand.

How it works

  1. Each event has Tell the Organisers on its Sales Rules tab: below 50 % sold, 3 days before, to start with. Change the numbers, or set 0 to send none.
  2. When an order sells the last ticket of a session, every organiser of the event gets Session Sold Out.
  3. Every hour the system looks at the published events. A session that is within the days you set and has sold less than the share gets Session Selling Slowly, once.
  4. The organisers open the event's Figures to see what is left, and decide: more promotion, a promo code, or more seats.

Everything it does

Sold out

  • Sent once per session, when an order is paid and the session's tickets are all sold
  • Counts the tickets of paid orders, less those cancelled; tickets held while a buyer pays do not count
  • The size of a session is its capacity, or the sum of its ticket type limits when every type has a limit. The smaller of the two counts
  • A session with no capacity and a ticket type without a limit never sells out, so it gets no alert

Slow sales

  • Tell the Organisers: below 50 % sold, 3 days before, to start with; per event
  • 0 % means never
  • Checked every hour for published events, for sessions still to come and not cancelled
  • Sent once per session, with what was sold, the size and the share
  • Needs a known size, as for sold out

Who is told

  • The organisers named on the event; event managers who are not organisers are not told
  • In the app inbox and by email; app push once the apps are in the stores
  • Not by WhatsApp or SMS: these alerts have no such channel

Who uses it

Event organiserGets the alerts for the events they are named on, and acts on them.
Event managerSets the share and the days on the event, and can name more organisers on Scale.

Where you use it

  • Web: the event's Sales Rules tab (Tell the Organisers below ... % sold, ... days before) and the Figures tab
  • The bell's inbox in the back office, the SmartMy Events app (built and in testing, not in the app stores yet), and email
  • Not built: an alert when a single ticket type sells out

What you control

Settings

  • Tell the Organisers: below 50 % sold, per event (0 for never)
  • Days Before: 3, per event

Notifications

  • Session Sold Out: to the organisers of the event, once per session, in the app and by email
  • Session Selling Slowly: to the organisers of the event, once per session, in the app and by email
  • Both go out at once; a person can switch off email, never the message, and in-app notices always arrive

Questions

Who gets the alerts?

The organisers named on the event. On Growth an event has one organiser; on Scale it can have several, and each is told.

Can I switch the slow-sales alert off for one event?

Yes. Set the percentage to 0 on the event's Sales Rules tab.

If tickets come back after a sell-out, will I be told again?

No. Each session gets one sold-out alert. The waiting list, where it is on, tells the people waiting when tickets come back.

Do the alerts come by WhatsApp?

No. They come in the app inbox and by email. App push is built in and comes on once the apps are in the stores.
