Online payment through your own gateway

Buyers pay through the payment provider of your own Entity, and your gateway settles the money to your account. Only a confirmed payment issues tickets, with a receipt and an accounting entry.

Why it matters

Many ticketing services collect the ticket money themselves and pay the organiser later, less their cut. Until then the school or club waits for its own money and reconciles a payout statement. In SmartMy Events the buyer pays through the payment provider of your Entity. The money is settled to your account by your own gateway, and SmartMy never holds it. The tickets are issued only when that payment is confirmed, and the receipt and the accounting entry are made at the same moment.

The problem it solves

  • Ticket money sits with a ticketing site for days before it reaches the school account.
  • Parents pay class teachers in cash, and the totals never match.
  • A payout statement has to be matched by hand against hundreds of orders.
  • A buyer pays twice, or after the time ran out, and nobody notices.

How it works

  1. Your administrator switches on a payment provider for your Entity, as for your other online payments.
  2. An event with a price can be published only once that provider is there, unless it is sold at the counter only.
  3. The buyer clicks Continue to payment. The page shows the order, a clock with the time left, and the payment methods of your provider.
  4. When the gateway confirms the payment, the receipt is posted and the payment recorded. The tickets are then issued and sent.
  5. A payment that arrives twice, or after the hold with no tickets left, issues nothing. On Growth and Scale it goes on the Refunds list; on Starter the order carries a note.

Everything it does

The provider

  • The payment provider of your Entity, switched on or in test mode
  • Set up outside the Events menu, the same way as your other online payments
  • A provider of another Entity is never offered
  • Without a provider, an event with a price cannot be published, unless it is At the Counter Only

Paying

  • The pay page shows the order, a clock with the time left and the methods your provider offers
  • Cancel this order lets the tickets go and charges nothing
  • Saved cards are offered only to the signed-in buyer of their own order
  • In the app, Pay in the browser opens the same page; the tickets appear in the app once paid
  • A free order skips payment and is confirmed at once

When the payment is confirmed

  • The order's receipt is posted in your ticket sales journal
  • The payment goes against it in the provider's journal, or your first bank journal when the provider has none
  • The tickets are issued and the buyer is sent the link
  • Only a confirmed payment issues the tickets of an order with a price

Late and double payments

  • A payment the gateway is still confirming keeps the order waiting up to 30 minutes past its hold
  • Paid after the hold: tickets are issued if they are still free; if not, no ticket and the money is to be paid back
  • Paid twice: the second payment is to be paid back
  • Growth and Scale: these go on the Refunds list; Starter: a note on the order, for you to pay back yourself

Who uses it

AdministratorSets up the payment provider of the Entity and the journals.
BuyerPays on the order page with a method your provider offers.
Event managerFollows orders Waiting for Payment and Paid after the Hold, and pays back what is due.
AccountantFinds each payment against its receipt in the provider's journal.

Where you use it

  • Web: the pay page of each order; Events > Orders with the filters Waiting for Payment and Paid after the Hold
  • The SmartMy Events app: Pay in the browser opens the pay page (built and in testing, not in the app stores yet)
  • Not at the counter: counter sales are paid in cash, UPI or card and recorded by the seller

What you control

Settings

  • Payment provider: none until your administrator switches one on
  • Tickets Held while Paying: 10 minutes
  • Ticket Sales Journal: empty means the first sales journal

Notifications

  • Tickets of a Paid Order: to the buyer once paid, with the link to the tickets, by email, WhatsApp or SMS
  • Each of these goes out at once. WhatsApp or SMS go where you set them up, from your message credits; app push follows once the apps are in the stores. A person can switch off email, WhatsApp or SMS for themselves, never the event; in-app notices always arrive

Questions

Does SmartMy hold our ticket money?

No. Buyers pay through your Entity's own payment provider, and the gateway settles the money to your account.

Which gateways can we use?

A payment provider set up for your Entity, the same way as for your other online payments. Talk to us about the one you use today.

What if a buyer pays after the time ran out?

If the tickets are still free, they are issued. If not, no ticket is issued and the money is to be paid back. It goes on the Refunds list on Growth and Scale, and as a note on the order on Starter.

Are the gateway charges in the reports?

No. The system does not know your gateway's charges. The money report shows what buyers paid.

Can we sell without a gateway?

Yes. Set the event to At the Counter Only and sell at the counter (Growth), or sell only free registrations.
