Profitability per project

One row per project: value sold, budget, revenue from approved client bills and cost from the building budget. Cost is split CAPEX and OPEX, with committed, margin and budget used.
PLANSScale only

The problem it solves

  • You know what a job cost only when it is over and the accountant has closed the books.
  • Every project manager says their site is fine; nobody puts the figures side by side.
  • Capital spend and running cost are mixed, so the margin is hard to read.

How it works

  1. Run the project with an approved building budget and client progress bills. Nothing else is needed: the report reads them.
  2. Open Construction > Projects > Reporting > Profitability. Running projects show first.
  3. Each row shows the client, project manager, value sold, revenue, cost, OPEX and CAPEX cost, margin, margin % and budget used %. Projects losing money are in red.
  4. Use the filters Losing Money and Over Budget, or switch to the pivot or the bar chart to compare by project manager or client.
  5. The list icon on a row opens the budget lines behind the figures. The arrow opens the project.

Everything it does

Columns

  • Value Sold: the project's contract value
  • Budget: current amount of the approved building budget
  • Revenue: gross of approved client progress bills
  • Cost: actual of the approved budget lines (wages, billed purchases, approved subcontractor bills, plant log sheets, loan interest and fees, typed costs)
  • Cost of Labour: the part on Labour cost codes
  • CAPEX Cost and OPEX Cost: by each cost code's mark
  • Committed: ordered or contracted, not yet spent
  • Margin: revenue less cost; Margin %: margin ÷ revenue
  • Budget Used %: (cost + committed) ÷ budget

Views and filters

  • List, pivot (by project manager to start with) and bar chart of revenue and cost
  • Filters: Running, Losing Money, Over Budget
  • Group by project manager, client, status or Entity
  • Totals at the foot of each money column
  • Read only: nothing is typed here

How current it is

  • Cost and committed are as the budget's last cost update counted them: every hour for approved budgets, or at once with Update Costs
  • Revenue counts a client bill once it is approved
  • Projects without an approved budget show revenue only

Who uses it

Managing directorCompares projects, finds the ones losing money, and asks why.
Construction ManagerReads the report and opens the budget lines behind a figure.
AccountsUses CAPEX and OPEX cost to see what builds the asset and what is running cost.

Where you use it

  • Web: Construction > Projects > Reporting > Profitability (Construction Managers)
  • Not in the phone app
  • Not on the client portal

What you control

Settings

  • CAPEX / OPEX mark per cost code, set once on the cost code list
  • Labour cost codes (Cost Type Labour) decide the Cost of Labour column
  • The contract value on the project gives Value Sold

Questions

Where does revenue come from?

From approved client progress bills, at their gross before retention and advance recovery. Payment plans of buyers in the Developer package are not counted here.

Why is cost lower than our accounts show?

Cost is what the approved building budget has counted. A vendor bill that came from no purchase order or work order is not in it until you add it under Typed Costs. Overheads outside the project are not in it either.

Can I see which costs make up a figure?

Yes. The list icon on a row opens that project's budget lines in Budget Analysis, by cost code, with committed and actual.

Which plan has it?

Scale, with the CAPEX / OPEX mark on cost codes. The building budget itself is in every plan.
