Project feed for the team and the client

One timeline per project where stage changes, key events, payments due and your own posts land. Each item says who it is meant for: your team, the client, subcontractors, the bank or buyers. People outside are told on WhatsApp or by email with a link to their own view, and confirm important items with Seen.
PLANSFrom Growth

The problem it solves

  • What was told to the client sits in five WhatsApp groups, and nobody can find it when there is a dispute.
  • A note meant for your own team, such as a supplier's rate, reaches the client by mistake.
  • The client says nobody told them the slab date was fixed or the stage payment was due.
  • The bank's engineer asks for the same photos every month.

How it works

  1. Every project has a Project Feed tab, and Construction > Projects > Projects > Project Feed shows the posts of all your projects.
  2. Some items post by themselves: a stage started, key event dates, live updates and reports, a payment falling due and a payment received.
  3. To post by hand press Post Update on the project: a title, the kind, the text, photos and files. Meant For can be Our Team, Management, Client, Subcontractors and Suppliers, Lender / Bank, Buyers.
  4. Tick Needs "Seen" when each person must confirm, for example a revised handover date.
  5. Some audiences are told: the client, the consultant, subcontractors, suppliers, the bank and buyers. Their people get an email, a WhatsApp message and an in-app notice. It links to their own page of the project, with no login.
  6. Their page shows only what is meant for them, with a Seen button. Anyone who has not confirmed a day later gets one reminder.

Everything it does

Each item

  • Title, date, kind, text, photos and files, who posted it
  • Kinds: Stage, Key Event, Payment, Approval, Report, Photos, Issue, Change, Design, Message, Other
  • Meant For: Our Team (to start with), Management, Client, Subcontractors and Suppliers, Lender / Bank, Buyers
  • Needs "Seen": who confirmed and when, listed under Seen By

What posts by itself

  • A project entering a stage, with the stage's message, for the audiences the stage names
  • A key event's date proposed, fixed, moved or cancelled, its start, live updates with photos, and its report
  • A payment milestone falling due, and a payment received with a thank-you, for the team and the client

Who is told

  • Audiences with Send Notifications on: Client, Subcontractors and Suppliers, Lender / Bank, Buyers
  • Our Team and Management are not messaged; they read the feed on the project
  • A person's audience comes from their role on the team: Consultant / Architect counts as Client, Supplier as Subcontractors and Suppliers
  • The person who posted is not told of their own item

The page for people outside

  • One signed link per person and project, made the first time they are told
  • Shows the project name, its stage now, and the last 60 items meant for that person
  • Photos in a grid, files to open, a Seen button where asked
  • Managers see each link on the Feed Links tab, with what it shows and when it was last opened, and can switch it off

Finding things

  • Filters: Client Sees, Needs Seen, Today; group by project or kind
  • Site staff see the feeds of their own projects; managers see all

Who uses it

Project managerPosts updates with photos, chooses who sees each one, and checks who has marked Seen.
Site engineerReads the feed of their projects and posts progress for the team.
ClientGets the news on WhatsApp or by email, opens their page and taps Seen.
Subcontractor or supplierSees only the items meant for subcontractors and suppliers, such as a pour date.
Bank's engineerSees the items meant for the lender, such as slab casting reports with photos.

Where you use it

  • Web: the project's Project Feed tab, Post Update and the Feed Links tab (managers); Construction > Projects > Projects > Project Feed
  • A signed page for each outside person, opened from the message, with no login
  • Not on the client portal: portal clients see site updates, variations and bills; the feed is on the signed page
  • Not in the SmartMy Construction app yet

What you control

Settings

  • Meant For and Needs "Seen" on each item
  • Send Notifications per audience: on for Client, Subcontractors and Suppliers, Lender / Bank and Buyers; off for Our Team and Management
  • Each role's audience, under Configuration > Roles; the audiences under Configuration > Audiences
  • Each stage's message and the audiences it goes to

Notifications

  • Project Update: to people of the item's audiences that are told, by email, WhatsApp and in the app, with the link. Each person can switch off a channel such as email or WhatsApp
  • Project Update Not Seen: once, a day after, to those who have not tapped Seen, by email and WhatsApp
  • Sent at once, at any hour: these are work messages, so quiet hours do not hold them back

Questions

Is this the same as the daily site update to the client?

No. The daily, weekly and monthly site updates are sent from the daily report and come in every plan. The feed is the project's running record of stages, events, payments and your own posts, each for chosen people.

Does the client need a login?

No. Each message carries a signed link to their own page of the project, showing only what is meant for them.

Can the client reply on the feed?

Not yet. The client can open photos and files and tap Seen. Replies on the feed are not built; comments on site updates are.

How do we stop a person seeing the feed?

Open the project's Feed Links tab and switch their link off. It stops working at once. Ending their team line stops new items reaching them.

Which plan has it?

Growth and Scale.

The client one has progress and photos but never your costs, crews or notes. Each goes by email or WhatsApp, as a link or as a picture card, after a manager's approval if you want one. Weekly and monthly round-ups add up the days, and clients can comment.PROJECTS AND SET-UPKey events: slab casting, handoverBhoomi pooja, foundation pour, slab casting, topping out and handover run as key events. Each has readiness checks counted back from the day, bookings for ready-mix and pump, and invitations the client answers from a link. Curing and cube results follow by themselves.PROJECTS AND SET-UPStages you leave only when the checks passEvery job moves through your stages, from Planning and Approvals to the Defects Period. A stage lets go only when its checks pass, such as the key events done or the client's stage payment received. Passing anyway takes an approval with the reason on record.PROJECTS AND SET-UPClient payment plans with milestonesGive a contract job its payment plan. For example: 10 % on signing, 15 % at foundation, 10 % per slab and 5 % at handover. Each milestone falls due by hand, on a date or after a number of days. With Growth also at a stage or when the slab casting is done. The client is told the amount and the date to pay by.PROJECTS AND SET-UPProject team with roles and datesEach project lists who does what: project manager, site engineer, QS, the client's representative, the architect, subcontractors and the bank's engineer. Each line has from and until dates, so a hand-over keeps the history and site staff see only their own sites.PORTAL AND APPPortal for clients, subcontractors, buyers and borrowersPeople outside your company sign in at /my/construction and see only their own part. Clients see their projects, site updates, variations to agree and approved bills. Subcontractors see their work orders, certified measurements and retention. Buyers and borrowers get their own pages when you sell homes or lend.
