Portal for clients, subcontractors, buyers and borrowers
People outside your company sign in at /my/construction and see only their own part. Clients see their projects, site updates, variations to agree and approved bills. Subcontractors see their work orders, certified measurements and retention. Buyers and borrowers get their own pages when you sell homes or lend.
PLANSEvery plan
The problem it solves
- The client calls every evening to ask how the site is going.
- A variation is agreed on the phone and argued over at the final bill.
- Subcontractors cannot see what was certified, so every running bill starts with a dispute.
- Nobody can show a subcontractor how much retention you hold for them.
How it works
- A Construction Manager presses Portal Access for the Client on the project, or Portal Access for the Subcontractor on the work order.
- In Grant Portal Access, tick the contact and press Grant Access. They get an email to set a password.
- They sign in and find the Construction card on their portal home, with Overview and their own menu.
- A client opens a project to read the site updates, agree or refuse a variation, and see the approved progress bills.
- A subcontractor opens a work order to see the items ordered, measured and billed, the certified measurements, the approved bills and the retention held.
- The same sign-in works in the SmartMy Construction app.
Everything it does
Clients: My Projects
- Every open project whose client is their company; closed projects drop off
- Site Updates: every daily, weekly and monthly client update, each opening its page; the latest on Overview
- Variations: what each adds, its amount and extra days. Agree or Refuse on one sent to them; the decision is recorded on the variation with their name
- Agreed variation items become contract items you can bill
- Bills: the approved progress bills, gross and net
Subcontractors: My Work Orders
- Each work order with the order value, billed and retention held
- The items with what is ordered, measured and billed
- Certified measurements and approved bills
Buyers and borrowers
- My Homes: price, received, still due and overdue; stages with the buyer's and the lender's share. Receipts, sale agreement and payment schedule as PDFs; handover and defects period; the specification sheet
- My Loans: sanctioned, released, passed to the builder, still with the buyer, still to be released, and each release
- Buyers' pages come with unit sales, which move to the coming SmartMy Real Estate product; borrowers' pages with the Lending add-on
Pages that need no login
- A site update page with a comment form, sent by email or WhatsApp, until its link expires
- With Growth: an inspection request where the inspector gives the result, and a key event invitation to reply and see the map. Also a person's view of the project feed
- With Growth: the estimate request page at /build/estimate, open to anyone
Approvers outside the office
- The Approvals page at /my/approvals for approvers who sign in to the portal
Safety of the data
- Each person sees only records of their own company: their projects, their work orders, their homes
- A variation can be decided once, and only while it waits for the client
Not built
- Paying a bill online from the portal
- The 3D model, the budget or the schedule for clients
- Uploading documents or messages from the portal, other than a comment on a site update

Questions
Do clients and subcontractors count as paid users?
No. Portal logins for clients, subcontractors and buyers are free and unlimited on every plan. Can a client agree to a variation from the portal?
Yes. A variation sent to the client shows Agree and Refuse. Their decision is written on the variation with their name, and agreed items become contract items.Does a subcontractor see other subcontractors' work?
No. Each subcontractor sees only the work orders given to their company. Can a client pay online?
Not from the portal today. Approved bills show there; payment is recorded in accounting.Does the client need a login to see the daily update?
No. Site updates also go as a link by email or WhatsApp that opens without a login until it expires. The portal keeps them all in one place.Related features
SITESite updates to the company and the clientEvery submitted site report makes two updates: a full one for your own people and a clean one for the client. The client one has progress and photos but never your costs, crews or notes. Each goes by email or WhatsApp, as a link or as a picture card, after a manager's approval if you want one. Weekly and monthly round-ups add up the days, and clients can comment.MONEYVariations, retention back and bank guaranteesPrice extra or changed work as a variation and send it to the client with its PDF. The client agrees on the portal, by signature or in writing. Then its items become contract items to bill. Ask for the client's retention back in one step, and keep every bank guarantee with a reminder before it expires.MONEYClient progress billsBill the client on the contract items. Each bill shows this bill, previous and up to date per item, the retention the client keeps and the advance taken back. It is approved inside first, prints as a progress bill, payment application or interim payment certificate, and becomes the customer invoice.MONEYMeasurement book, retention and advancesSite staff measure each item's work by place, as Nos. x length x breadth x depth with photos; a manager certifies it, and only certified quantities reach the running bill. Retention is kept from every bill and released in one step, and the mobilisation advance is recovered bill by bill.PORTAL AND APPThe SmartMy Construction app, also offlineOne app for Android and iPhone for the people on site. It has today's site report with photos, the muster roll and check-in, snags and inspections. It also has material requests and issues, measurements, plant log sheets and safety. What is entered without signal is kept on the phone and sent when the signal is back. Clients, subcontractors and buyers use the same app for their own pages.ACROSS SMARTMY CONSTRUCTIONApproval chainsBudgets, material requests, wage runs, work orders, subcontractor and client bills, client updates, piece work, permits and more need approval. They go to the right people in order, set up without code. Every decision is kept with who made it, when and why.
