NEP: APAAR / ABC IDs, credit transfer and multiple exit
Keep each student's APAAR / ABC ID and export earned credits as a file for the Academic Bank of Credits. Accept credits from SWAYAM, NPTEL and other institutions within a limit. A student can leave with a certificate or diploma and come back later.
PLANSScale only
The problem it solves
- The Academic Bank of Credits upload is put together by hand, and students without an APAAR ID are found at the last minute.
- A student brings an NPTEL certificate, and the office works out on paper how its credits count.
- Nobody can say how much of a programme a student has already brought in from outside.
- A student leaves after the first year, and there is no record of the certificate earned or the credits to come back with.
How it works
- Type the APAAR / ABC ID on each student's Credits tab, or import it with the Students sheet. An ID belongs to one student only.
- For the upload, open Choice Based Credits > Credits (NEP) > ABC Credit Export, choose the programme, intake and result dates, and press Export. Download the CSV and upload it on the bank's own website.
- A student asks for a credit transfer on the portal's Electives page with the certificate, or the office enters it. It arrives in Credit Transfers under To Review.
- The academic office fills in credits, grade and grade point, the category and semester it counts in, and the subject it replaces, if any. Then Approve, or Reject with a reason the student sees.
- On the programme scheme, add Exit Levels: the award, its kind, minimum credits and semesters.
- Press Exit with Award on the student's Credits tab. The system checks the level is met, keeps the credits and CGPA, and prints the award certificate. Re-enter brings the student back with credits kept.
Everything it does
APAAR / ABC ID and export
- APAAR / ABC ID on the student, unique
- ABC Credit Export: by programme and intake (or the whole college) and Results From / To
- One CSV row per course: APAAR ID, student name, register number, programme, semester, course code and name. Then category, credits, grade, grade point, result date, source and provider
- Earned credits are the latest pass of each subject; Include Approved Transfers is on to start with
- Shows Credits Exported and lists Students without an APAAR ID, so you fill them in and export again
- The upload to the Academic Bank of Credits itself is done on the bank's website, not from here
Credit transfers
- Sources: SWAYAM, NPTEL, Other MOOC, Another Institution, Internship / Apprenticeship, Other
- Offered By, Course, Course Code, Completed On and the Certificate
- Credits, Grade, Score / Marks as printed, Grade Point, Category, Counted in Semester
- In Place of Subject: the transfer replaces a college subject, and its arrear no longer counts
- Statuses: Draft, Submitted, Approved, Rejected; the reason for a rejection is shown to the student
- Asked by the student on the portal, or entered by the office
Limits and CGPA
- Transferred Credits Limit (%): 40 % of the programme's credits to start with; 0 means no limit
- Transferred Grades Count in CGPA: on to start with; a grade point is then needed to approve
- Approved transfers count in category credits and credits earned, are listed on the Credits tab and printed on the grade card
Multiple entry and exit
- Exit Levels on the scheme: Award, Kind (Certificate, Diploma, Degree, Honours / Research, Other) and Minimum Credits. Also Minimum Semesters with published results, and Also Needed (checked by the office)
- Exit with Award offers the highest level met; Confirm Exit refuses a level not yet met
- The exit keeps an award number, the Credits Earned and the CGPA at that moment
- Print Award: the award certificate as a PDF
- Re-enter: choose the Re-entry Semester; the student keeps earned credits and is moved to that semester
- Exits with Award lists every exit: Draft, Exited, Re-entered, Cancelled
Import
- Students sheet: APAAR / ABC ID column
- Sheets for Credit Transfers and Exit Levels

Questions
Does the system upload credits to the Academic Bank of Credits?
No. It prepares the CSV of earned credits with each student's APAAR ID and lists students without one. You upload the file on the bank's own website. How much can a student bring in from SWAYAM or NPTEL?
Up to the Transferred Credits Limit, 40 % of the programme's credits to start with. Set 0 for no limit. The limit is checked when the office approves.Do transferred grades count in the CGPA?
Yes to start with: Transferred Grades Count in CGPA is ticked, and a grade point is then needed. Untick it to count the credits only. Can a student leave after a year with a certificate?
Yes, when the programme scheme has an exit level the student meets. Exit with Award checks credits and semesters, keeps the CGPA and prints the award certificate. What happens when the student comes back?
Open the exit, choose the re-entry semester and press Re-enter. The student keeps the credits already earned and moves to that semester.Related features
