Accounting reports, stock value by location and pending lists

Trial balance, profit and loss, balance sheet, day book, cash and bank books and ageing. Stock value per shop and godown, and a summary of each shop's sales, margin and net. And the lists of what is still to deliver and receive.
PLANSFrom Growth
Built; not yet tried end to end at a customer.

The problem it solves

  • The books are with the accountant, and the owner sees profit once a year.
  • Each shop's profit is a guess, because stock and expenses are not split by shop.
  • Stock value is known for the business as a whole, never for each godown.
  • Orders wait undelivered and goods on order never arrive, and nobody has the list.

How it works

  1. Post bills, purchases, payments and stock as you work. Each bill, supplier bill and stock move carries its shop.
  2. Open Trade > Reports > Tax and Accounts > Accounting Reports, pick the report, the entity, the period and, if wanted, a shop. Show on screen, print or download Excel.
  3. Open Shop Summary for a period: one line per shop with opening and closing stock, purchases, sales, cost of sales, margin, expenses and net.
  4. Stock Value by Location gives the opening, in, out and closing of each item per shop and godown. The Location Stock Ledger shows every move behind it.
  5. Use Pending Deliveries and Pending Receipts each morning, and Sales, Order and Purchase Analysis for any grouping you need.

Everything it does

Accounting reports

  • Trial balance: opening, debit, credit and closing per account for a period
  • Profit and loss: income, cost of revenue, expenses and net profit
  • Balance sheet on a date, with the profit not yet closed
  • Day book; cash book and bank book with running balance
  • Receivable and payable ageing: not due, 1-30, 31-60, 61-90 and over 90 days
  • By entity and, where given, by shop; on screen, PDF or Excel
  • Scale adds the full financial reports with drill-down, comparison and budget columns

Stock value by place

  • Stock Value by Location: opening, in, out and closing per shop or godown and item for a period
  • Location Stock Ledger: each move into or out of a place with cost, value and running balance
  • Cost per Warehouse: each place's quantity, value and average cost
  • Stock Cost by Location: one cost for the entity (to start with), or each shop and godown its own average
  • Goods between shops show as in transit

Shop Summary

  • For a period, one line per shop under one GST number
  • Stock at the start and end, goods purchased, sent to and received from other shops
  • Sales, cost of sales, margin and margin %, expenses and net
  • Each shop has its own analytic account, made for you, so expenses booked with it count
  • Entries without a shop on their own line

Analysis and pending lists

  • Sales Analysis (groups by shop), Sales Order Analysis, Purchase Analysis
  • Item Movement: done quantities by item and kind of move
  • Pending Deliveries and Pending Receipts: not yet done, by kind
  • Dues by Broker; GST Returns Data and GSTR-2B Match for India; Export Incentives in Scale

Questions

Can I see profit for each shop?

Yes. Shop Summary gives sales, cost of sales, margin, expenses and net per shop for any period. Profit and loss can also be filtered by a shop.

Can each godown carry its own cost?

Yes. Set Stock Cost by Location to each warehouse its own cost. Transfers then move value at the sender's average.

Can I take the reports to Excel?

Yes. The accounting reports print or download as Excel; the analyses export from their lists.

Who can open the reports?

The Trade > Reports menu is for Trade Managers.
