Each shop's staff see their own shop
Give each user the shops and godowns they work in. Their list of bills and returns, and the goods coming in and going out, then show only those places. Trade Managers, and users given no shop, see every shop.
PLANSFrom Growth
Built for bills, returns and stock transfers; sales orders, payments, cheques, stock on hand and ledgers are not limited by shop yet.
The problem it solves
- The counter staff of one shop can scroll through every other shop's sales.
- A storekeeper takes in goods meant for another godown by mistake.
- Each shop's bills are mixed in one long list, and staff waste time finding their own.
How it works
- Open Settings > Users > the user, and the Shops tab. Pick the shops and godowns this person works in.
- From then on, the user's Bills and Returns list shows only bills of those shops, and bills that have no shop.
- Goods In, Goods Out and transfers show only those of the user's shops and godowns.
- A Trade Manager sees every shop whatever is set. A user with no shop picked also sees every shop.
- Change the shops on the user at any time; it takes effect at once.
Everything it does
What is limited
- Quick bills and returns of other shops are hidden
- Receipts, deliveries and transfers of other shops and godowns are hidden, for storekeepers and billing staff
- The same limits apply in the SmartMy Trade app, which works through the same rules
What is not limited yet
- Sales orders and the invoices made from them
- Payments, receipts against bills and cheques
- Stock on Hand figures, holds and party ledgers
- The shop a user can pick on a new bill
Who sees everything
- Trade Managers and Trade Administrators
- Any user with no shop given
- Bills with no shop set are seen by every user
Reports by shop
- Shop Summary, Stock Value by Location and Sales Analysis by shop are under Trade > Reports, for Trade Managers
- Each shop's sales, margin and net can be read apart without giving staff access to the others
