Useful contacts rated by residents
A list of plumbers, electricians, shops and services around your society, kept by the office. Residents call from the list, rate each contact from one to five stars, and suggest new ones for the office to publish.
PLANSFrom Growth
The problem it solves
- Every week someone asks the group for a plumber's number, and gets five different answers.
- The good electrician's number is on a sheet at the security cabin that nobody can find after 9 pm.
- A new tenant has no idea where to get milk, ironing or a puncture fixed.
- A vendor who overcharged three flats keeps getting recommended, because nobody wrote it down.
How it works
- The office opens Visitors > Residents > Community > Useful Contacts and clicks New: the name, phone, category, hours and a note. It shows to residents at once.
- Residents open Useful contacts on the resident portal or in the Resident app. They search by what they need, a name or a number, or browse by category.
- Call phones the contact straight from the list.
- After using a contact, a resident gives it one to five stars. Each person rates once and can change their rating later. Everyone sees the average and how many rated.
- A resident who knows a good tailor fills in Suggest a contact and presses Suggest. It takes name, phone, category, and if they like the hours and a note.
- The suggestion waits under the filter Suggested by residents. The office opens it and clicks Publish or Reject.
Everything it does
A contact
- Name, phone, category, hours (for example 8:00 to 20:00, Sunday closed) and notes
- Categories: Plumber, Electrician, Carpenter, AC / Appliance Repair, Puncture / Mechanic, Vegetables / Fruits, Grocery. Also Milk / Newspaper, Ironing / Laundry, Pharmacy / Doctor, Taxi / Auto, Pest Control, Cleaning, Tutor, Other
- Statuses: Suggested, Published, Rejected; residents see only Published contacts
- Suggested By shows who suggested it
- Archive a contact who is no longer wanted; nothing is deleted, and every change is in its history
Ratings
- One to five stars, one rating per person per contact; rating again replaces the earlier one
- Residents see the average stars and the number of ratings
- The office sees each rating on the contact's Ratings tab, with who gave it
- Stars only: residents do not write reviews
For the office
- Visitors > Residents > Community > Useful Contacts, with Rating and Ratings columns
- Filters: Suggested by residents and Published; group by category
- Publish on a row or on the form; Reject on a suggestion
- Each society keeps its own list
Who uses it
Society officeAdds contacts, checks residents' suggestions, publishes or rejects them, and archives contacts that should go.
ResidentFinds and calls a contact, rates it, and suggests new ones.
Committee memberLooks at the ratings when the society chooses vendors for common work.
Where you use it
- Resident portal: Useful contacts, in the Community group
- The SmartMy Society Resident app: Community > Useful contacts (built and in testing, not in the app stores yet)
- Web (office): Visitors > Residents > Community > Useful Contacts
- Not a booking or payment service: residents call the contact and deal with them directly
- Not a check on the vendor: the office decides what it publishes
What you control
Settings
- The approval chain Suggested contact: one level, reception and the VMS managers, with no set-up; add levels if a committee member must also agree
Approvals
- Suggested contact: a resident's suggestion waits for the society office (reception and VMS managers) before it shows; one chain per society, with levels you add
Notifications
- No message is sent for a suggestion, a publish or a rejection. The office sees new suggestions under its filter, and the resident sees the contact appear when it is published
