Guard patrol rounds with QR and NFC checkpoints
Guards walk set routes through the towers, basements and terrace. They scan a QR label or NFC tag at each checkpoint, even without signal. A round that is missed, late or half done reaches the office at once.
PLANSFrom Growth
The problem it solves
- The night guard signs the patrol register at 6 am for rounds nobody can prove were walked.
- A leak in basement 2 is seen on a round and reported the next morning, if at all.
- The committee asks whether the back wall is checked at night, and the security agency has only its word.
How it works
- The society office adds checkpoints, such as Tower B basement, pump room or terrace door, with instructions and, if wanted, a position and radius. It prints a QR label for each and sticks it on the spot.
- Routes list the checkpoints in order, the guards, the time allowed and the schedule. For example, every 2 hours from 22:00 to 06:00.
- Rounds are planned from the schedule, and the guards of the route are reminded 10 minutes before each one.
- The guard presses Start and scans each checkpoint. Scans made in a basement without signal stay on the phone and are sent later, once each.
- Something wrong at a checkpoint: the guard ticks Something is wrong here, writes what and adds a photo. The office is told at once.
- A round that is late, not walked or missing checkpoints is flagged. The office is told and can hand it to another guard.
Everything it does
Checkpoints
- Name, location (tower, floor, spot), instructions shown to the guard, active or not
- QR label printed from the checkpoint; New QR code replaces a label someone copied
- NFC tag: written from the app; the tag's serial is kept when the tag cannot hold the code
- Optional position with a radius (50 metres to start with): scans farther away are flagged as scanned away
Routes and schedule
- Ordered checkpoints and the guards of the route
- Planned Rounds: on for a new route, from 22:00 until 06:00, every 2 hours, every day of the week
- Time Allowed: 30 minutes; Flag Late After: 10 minutes
- A planned round can be started from 15 minutes before its time
- Without planned rounds, guards start a round when needed
Rounds and scans
- Statuses: Planned, Running, Done, Incomplete, Missed, Cancelled
- A planned round nobody walked in the time allowed becomes Missed; a running round left open past twice its time is finished by itself
- Each scan keeps the checkpoint, time, QR or NFC, distance, whether it was sent later, a note and a photo
- GPS track of the round from the Guard app
- Filters: Today, Running, Done, Missed / incomplete, With issues, Scanned away, Not started in time; analysis by route, guard, status and day
Handing a round over
- Assigned To on a round: the office changes it to give the round to another guard, who is told
- Not Started In Time: a planned round not started 10 minutes after its time is flagged and the office is told once
- With the duty rota (Scale), each planned round goes to the guard on duty by itself
Who uses it
GuardStarts rounds, scans checkpoints, reports what is wrong with a photo and finishes the round.
Society officeFollows the rounds, gets missed rounds and issues, and hands a round to another guard.
Facility managerSets up checkpoints, labels, NFC tags and routes, and reads which checkpoints are missed.
Where you use it
- Web: Visitors > Patrolling > Rounds, Checkpoints and Routes in the back office
- Web: the guard page at /guard, Patrol, with QR labels or typed codes and the browser's location
- The SmartMy Society Guard app: Patrol, with QR, NFC, offline scans and the GPS track (built and in testing, not in the app stores yet)
- Not in the browser: NFC tags work only in the Guard app, and are not yet proven at a customer's site
What you control

Questions
What if there is no signal in the basement?
The Guard app keeps the scans on the phone and sends them once it is back online. Each scan is counted once.Do we need NFC tags?
No. Printed QR labels work in the Guard app and in a browser. NFC tags work only in the app.How do we know the guard was really at the checkpoint?
Give the checkpoint a position. A scan farther away than its radius is flagged as scanned away. Can a problem found on a round become an incident?
Yes, with Scale: the office writes the check up as an incident in one step. On Growth the issue stays on the round and the office is told.Which plan has patrol rounds?
Patrol rounds start with Growth. Scale adds the duty rota, which gives each round to the guard on duty, and incidents written up from a patrol check.Related features
