Several entities in one account

Run the firms of your group, such as a machining unit and a separate assembly firm, in one SmartMy Manufacturing account. Each Entity keeps its own plants, orders, job work, settings and books. Your staff switch between the Entities they are allowed in, and the owner sees them together.
PLANSEvery plan

The problem it solves

  • Your family runs two factories as two firms, and each has its own software, login and backup.
  • The same raw materials are set up twice with two different names.
  • A supervisor of one firm must not see the other firm's orders, costs or job workers.
  • The owner adds up two sets of production figures by hand at the month end.

How it works

  1. Add each firm as an Entity under Administration > Users & Entities > Entities: name, address, GSTIN, currency, logo, time zone and the parent Entity.
  2. Give each person the Entities they may work in, under Allowed Entities on the user. Someone allowed in one firm sees nothing of the others.
  3. Set up each Entity's plants, its Manufacturing settings, and its chart of accounts and taxes. Items can be shared by all, or kept to one Entity.
  4. Pick the Entity to work in from the switcher at the top. Orders, job work, stock and ledgers follow the Entity you are in.
  5. The owner ticks several Entities to see dashboards and reports together. In Scale, the Financial Reports show the group consolidated.

Everything it does

What belongs to each Entity

  • Its plants, production and work orders, job work challans, stock and its value by stage
  • Its operators, piece rates, andon calls, quality points and checks, maintenance plans, tools, lines and forecasts, as your plan has them
  • Its GSTIN, chart of accounts, taxes, journals and invoice numbers
  • Its approval chains, copied from the parent Entity when it is made
  • Its notification settings, following the group's until you change them

Manufacturing settings per Entity

  • Rejects Use Up Material: on to start with (Growth)
  • Factory Overhead 10 %, Office Overhead 5 % and Profit 15 % on the cost sheet (Growth)
  • Technician Cost per Hour for breakdowns (Growth)
  • Fabric grades: A up to 20 and B up to 40 points per 100 sq yd (Scale, textile)
  • AI Estimates from Drawings: off to start with (Scale); the quote request page takes the Entity in its address

Seeing the group

  • The web dashboards and reports count every Entity you tick
  • Today in the SmartMy Manufacturing app shows the Entity you are in
  • Scale: Financial Reports with a column per Entity, or consolidated

Who sees what

  • A person works only in their Allowed Entities
  • A role, such as Supervisor or Planner, applies in every Entity the person is allowed in
  • Most Manufacturing records carry an Entity rule; a few line, packing and loom records do not yet (see the questions)

Who uses it

OwnerWorks with every Entity ticked and compares the firms.
AdministratorAdds Entities and gives people their Allowed Entities.
AccountantKeeps each firm's books, GST and returns apart.
Supervisor and plannerWork in their own firm's Entity and plants.

Where you use it

  • Web: Administration > Users & Entities > Entities, and the Entity switcher at the top
  • The SmartMy Manufacturing app: works in the Entity you are in (built and in testing, not in the app stores yet)
  • Not built: a role in one Entity only; a role applies in every Entity the user is allowed in
  • Not built: orders between your own Entities made into the other firm's order by themselves

What you control

Settings

  • Per Entity: name, address, GSTIN, currency, logo, time zone and its own Manufacturing settings
  • Per user: Allowed Entities
  • Per item: an Entity, or empty for all

Approvals

  • Each Entity has its own approval chains, copied from its parent when it is made

Notifications

  • Each Entity follows the group's notification settings until you give it its own channels and wording

Questions

Does each firm need its own GSTIN?

Each Entity carries its own GSTIN and files its own returns. Plants under one GSTIN are plants of one Entity, not separate Entities.

Can a supervisor of one firm be kept out of another?

Yes. Allow them only in their own Entity. They do not see the other firm's orders, job work, costs or stock. A few records, such as hourly line output, packing lists and loom shift production, do not yet carry an Entity rule. Tell us before you run two Entities.

Can our firms sell to each other without typing twice?

Not by itself in SmartMy Manufacturing. One firm raises a purchase order and the other a sales order, each in its own Entity.

How many Entities can we have?

One comes with your plan, and more can be added. Tell us about your group and we will confirm what your plan includes.
