Company feed, announcements, kudos and staff chat

One wall for everyone in the Entity, with groups for each department and location. It has announcements people confirm they read, kudos with badges, birthdays and work anniversaries, polls and events. Staff also message each other in Chat, one to one or in groups.
PLANSScale only

The problem it solves

  • Notices go out on five WhatsApp groups, and HR cannot tell who in the factory or the branch actually read the new shift rule.
  • Birthdays and work anniversaries are missed because nobody keeps the list, and the people at other sites never hear of them.
  • Good work is thanked in a corridor and forgotten; nothing shows who helped whom.
  • Staff talk on personal phones and groups the company does not control, with ex-employees still inside.

How it works

  1. Install the feed and it makes a group for each department and each location by itself. Members follow the employee records: a transfer moves the person to the new group.
  2. Anyone with a login opens Company Feed > Feed on the web, or Company Feed > Feed in the app's Menu. They post to the company wall or one of their groups: text, photos, videos, documents and @mentions.
  3. HR posts an announcement, pins it to the top and ticks Ask everyone to confirm they read it. Each person gets an I have read this button; HR opens Who confirmed to see who has not read it yet.
  4. Every morning the feed posts the day's birthdays, work anniversaries and new joiners. Colleagues wish in one tap, and the department gets a reminder to wish.
  5. People give kudos with a badge, run polls and invite colleagues to events. Anyone can report a post; moderators keep it or remove it with a reason.
  6. For a quick word, staff open Chat in the back office's main menu and message a colleague, or make a group.

Everything it does

Posts

  • Kinds: post, announcement, kudos, celebration, poll and event
  • Text, photos and videos, and up to 10 documents of up to 20 MB each
  • On the web, photos are shrunk to 1,600 pixels before upload; a photo or video can be up to 100 MB
  • @mentions: the person mentioned is told
  • Six reactions: Like, Love, Celebrate, Support, Insightful and Funny; one per person, the same one again takes it back
  • Comments with one level of replies, and likes on comments
  • Views: All posts (the wall and your groups), Company wall, one group, or one person's posts and the kudos they got. Search by text, event name or author

Announcements

  • Posted by HR, moderators and group admins only
  • Pin to the top: pinned posts come first; HR and group admins pin and unpin any post
  • A pin can carry an end date; a daily job unpins it after that date
  • Ask everyone to confirm they read it: an I have read this button, and a count of who confirmed
  • Who confirmed: two lists, confirmed (with the time) and not yet, seen by who posted it, group admins and moderators

Kudos and celebrations

  • Kudos to one or more colleagues, never yourself, with a badge and a note
  • Six badges to start with: Thank You, Team Player, Above and Beyond, Customer Hero, Innovator, Great Leader; moderators add or change them (name, emoji, description)
  • Kudos a month per person: 0 (no limit) to start with; at the limit the person is told they have used this month's kudos
  • Posted by the feed each morning: birthdays, work anniversaries (from the date of joining, with the years) and new joiners on their first day. Each one on or off
  • Employees can choose to hide their birthday with Keep my birthday off the feed, on the feed page or in the app's feed settings. Work anniversaries still show
  • HR posts promotions, awards, weddings, new babies and other good news as a celebration
  • Wish in one tap, or in your own words; each person wishes once, then comments
  • Birthdays and anniversaries ahead: the coming 7 days to start with (up to 31; 0 hides it); the day only, never the year of birth

Groups

  • Department and location groups are made by the feed and kept up to date every day and on each employee change. A group whose department or location is gone is archived
  • You cannot leave your own department or location group
  • Interest groups anyone can start (a cricket club, a book club); whoever starts it is its admin
  • Open: anyone in the Entity can find, read and join it; Private: only members see it, and admins add people
  • Who posts: every member (the default) or group admins only
  • Admins add and take out people and make other admins; a group keeps at least one admin

Polls and events

  • A poll is a question with at least two different choices
  • Options: several choices, anonymous (nobody sees who chose what, only the counts) and a closing time
  • People can change their vote until the poll closes
  • An event has a name, start, end and place; people answer Going, Maybe or Not going, and the counts show on the post

Moderation

  • Company Feed: Moderator role; HR Managers have it by default
  • Who posts on the company wall: every employee (the default) or HR and moderators only
  • Anyone can report a post or a comment with a reason; moderators are told
  • Company Feed > Moderation > Reports: Keep It or Remove It
  • A moderator or group admin can remove any post directly, and must give a reason; the post is hidden, not erased
  • All Posts and Kudos Given list everything, removed posts included

Staff chat

  • Chat sits in the back office's main menu, in place of Discuss
  • Message any colleague with a login in your entities, or make a named group
  • Send files with the paperclip; mute a conversation or leave a group
  • You see only the conversations you are in; the list shows the last message and unread count, and refreshes by itself
  • Messages up to 4,000 characters; no voice or video calls and no voice notes

Questions

Can we see who has not read an announcement?

Yes. Tick Ask everyone to confirm they read it when you post. Who confirmed then lists the people who confirmed, with the time, and everyone who has not yet.

Can an employee keep their birthday private?

Yes. Each employee can tick Keep my birthday off the feed, on the feed page or in the app. Then no birthday post is made and they are left out of the coming birthdays. Work anniversaries still show.

Who can post on the company wall?

Every employee by default. HR can change it so only HR and moderators post on the wall; people then post in their groups. Announcements are posted by HR, moderators and group admins, celebrations by HR and moderators.

Do staff at another site see our department's posts?

Posts in a department or private group are seen only by its members. Posts on the company wall and in open groups are seen by everyone in the Entity.

Is staff chat in the phone app?

No. Chat is in the web back office. The app has the feed, with mentions, comments and kudos.

Can a post be removed without deleting it?

Yes. A moderator or group admin removes it with a reason. It is hidden from everyone but kept, and the person who posted it sees why.
