Meal tokens and coupons

Sell a single meal token, a pack of 20 meals or a value coupon. Each is valid for a set time, at chosen outlets and sessions. Every token has its own code, printed as a QR on the slip. The counter serves it from the slip or the holder's card.
PLANSEvery plan

The problem it solves

  • Paper tokens are copied or reused, and the counter cannot tell.
  • Unused tokens pile up and nobody knows how much money is held for meals not yet served.
  • A visitor's lunch token is used at the wrong canteen or for dinner.

How it works

  1. Create a type under Food Service > Configuration > Meals and Menu > Token / Coupon Types. It is a meal (single or pack) or a value coupon. Give its price, validity and what happens when it expires.
  2. Choose where it is valid (outlets and sessions), who may buy it, and whether anyone holding it may use it.
  3. Switch on Tokens / Coupons on the outlet. The type appears among the items on the counter's Sell tab.
  4. The cashier sells it like an item. After payment the slip prints with the code as a QR and in letters.
  5. At the Serve tab the cashier scans the slip, or the holder's card, and taps Serve. The meal is taken off the token.

Everything it does

Token types

  • Kind: Meal (single or pack) or Value coupon
  • Meals in one token: 1 for a single meal, 20 for a pack, for example; a value coupon has a value to spend
  • Price; Valid for (days): 30 to start with, 0 for no expiry
  • Valid at (outlets), Sessions and Sold to (customer types); empty means all
  • Transferable: anyone presenting it may use it; otherwise only its holder
  • On Expiry: Expires (no refund), Validity extended once (7 days to start with), or Unused part to the wallet

Tokens

  • One token per unit sold, each with its own 10-character code
  • Meals Left or Value Left; state Active, Used, Expired or Cancelled
  • The revenue of each meal is the price divided by the meals; the last meal takes the rounding
  • A personal token is also found by the holder's card or app QR, so the slip is not needed
  • Second serving in the same session follows the outlet's rule: not allowed to start with
  • Reversing the sale cancels the tokens, unless one was already used

Value coupons

  • A value coupon pays part or all of a bill with the Coupon payment mode and its code
  • Today this is done in the back office with Pay on an order; the counter tablet has no button for it yet

Also issued as tokens

  • Guest meals: complimentary tokens charged to a cost centre
  • Rewards bought with points (Growth): a free treat as a token

Questions

Can a token be copied?

Each token has its own code, and a meal taken is recorded against it. A copied slip is refused once the meals are used up.

What happens to a pack with meals left when it expires?

What the token type says: it expires, its validity is extended once, or the unused part goes to the holder's wallet.

Can a visitor use a token without a card?

Yes, if the token type is Transferable. The counter scans the slip by itself.

Can parents buy tokens online?

Not yet. Tokens are sold at the counter. Parents see the active tokens and what is left on the portal and in the app.

Is it in Starter?

Yes. Meal tokens, packs and value coupons are in every plan.
