Several Entities

Run the canteens of several colleges, schools or offices under one account, each as its own Entity with its own outlets, taxes and bill series. Customers, sessions and payment modes can be shared, and with Scale a central kitchen and central purchase serve them all.
PLANSScale only

The problem it solves

  • Each campus runs its canteen in a separate system and the group sees nothing together.
  • A student moving between two schools of the trust needs a new card and wallet.
  • Food made in one kitchen for another campus is never billed between them.

How it works

  1. Add each Entity under Settings, with its GSTIN and address.
  2. Create its outlets, counters and kitchens, its tax rules and its bill series.
  3. Share what is common: meal sessions, customer types, payment modes and customer cards can be for all Entities.
  4. Give users the Entities they may work in; they switch Entity at the top of the screen.
  5. With Scale, a central kitchen supplies outlets of other Entities and central purchase buys for them.

Everything it does

Per Entity

  • Outlets, counters and kitchens
  • Tax rules, token types, meal plans and promotions
  • Bill series without gaps
  • Accounts and journals

Shared or per Entity

  • Meal sessions, customer types, payment modes and customer cards: for all Entities or one
  • Wallet: one for the whole group to start with; with Scale it can be per Entity

Between Entities (Scale)

  • A central kitchen can supply outlets of other Entities
  • Food Bought by: an Entity can buy through the Central Purchase Store
  • Combine Central Requests and Send to the Entities, with an invoice and a bill between them
  • Wallet Settlements work out what each Entity owes another for wallet money spent there

Reports

  • Reports per Entity, or for every Entity the user can see

Questions

Can one customer card work at two schools of the same trust?

Yes. Cards and customer types can be shared by all Entities, and the wallet is one for the group to start with.

Does each Entity get its own GST invoices?

Yes. Each Entity has its own tax rules, bill series and accounts.

Can one kitchen cook for several campuses?

With Scale, a central kitchen supplies outlets of other Entities, billed between them.

How many Entities are included?

It depends on the plan. More Entities can be added.

KITCHEN PRODUCTIONCentral kitchen dispatch to outletsOne kitchen cooks for several outlets: each dispatch records what left, in which vehicle and at what temperature, and the outlet records what arrived. When the outlet belongs to another Entity of your group, the received food is billed between the two at cost plus your markup.STORES AND PURCHASEPurchasing, rate contracts and vendorsBuy for your stores with purchase requests, approval above a value, orders at the prices of your rate contracts and receipts checked at the gate. Vendor bills that do not match the order and the receipt cannot be posted, and vendors with an expired food licence cannot be ordered from.PAYINGPrepaid walletEach customer has a food wallet. It is topped up at the counter or in the office, in Growth also online, and spent at every counter by scanning the card. Every change is an entry that is never edited, only reversed, and a low balance raises an alert.SET-UPOutlets, counters and meal sessionsSet up each mess, canteen, tuck shop or cafe as an outlet with its own counters, open days, meal sessions, selling methods and payment modes. Serving times and cut-offs can differ by outlet and by weekday.SET-UPTax rules for foodSay which taxes apply by outlet, customer type and food category, and with Growth by order type such as dine-in or parcel. The most specific rule wins, a rule without taxes makes the sale exempt, and every bill shows its taxes.ACCOUNTING AND REPORTSDaily sales and meals served reportsSee what each outlet, counter, cashier and item sold and how it was paid. See how many plan meals were planned, opted out, served and missed per meal. The reports open as a pivot, a chart or a list, and the meal figures are built every night.
