Daily sales and meals served reports

See what each outlet, counter, cashier and item sold and how it was paid. See how many plan meals were planned, opted out, served and missed per meal. The reports open as a pivot, a chart or a list, and the meal figures are built every night.
PLANSScale only

The problem it solves

  • At the end of the day you add up each counter's receipts by hand to know what was sold and how it was paid.
  • The organisation pays part of every staff meal, and accounts cannot say how much went to which department.
  • You charge for a monthly meal plan but do not know how many members opted out, ate or simply did not come.
  • The busiest hour and the slowest dish are guesses.

How it works

  1. Your counters sell and serve as usual. Only paid bills count; a reversed bill drops out of the sales.
  2. Open Food Service > Reports > Sales and Payments > Sales Analysis. It starts on this month, by outlet and month. Group by counter, cashier, item, food category, session, hour, customer type, cost centre or day.
  3. Open Payments Analysis for the money by payment mode, with the Entity's share as its own line. Open Subsidy and Complimentary for what the Entity paid, by cost centre.
  4. Every night the system counts each outlet's meals per day and session: plan meals, opted out, served, no-shows and token meals.
  5. Open Meals and Money per Day for those counts with revenue and food cost, or filter With No-shows to see the meals people missed.
  6. Export any list to a spreadsheet, or switch to a graph.

Everything it does

Sales Analysis

  • Every line of every paid bill: date, business day, hour at the outlet, outlet, counter, cashier, session, customer type, customer, item, food category, cost centre
  • Kind: item, token or meal plan; filters Items, and Tokens and Plans
  • Figures: quantity, sales (untaxed), taxes, total, paid by the Entity, paid by the customer
  • Pivot by outlet and month to start with; a graph by hour; a list with totals

Payments Analysis and subsidy

  • Each payment of a paid bill by payment mode, with the Entity's subsidy as its own line (Type: Payment or Entity Subsidy)
  • Group by payment mode, type, cost centre, outlet, cashier or customer type
  • Subsidy and Complimentary by Cost Centre: the part paid by the Entity, by cost centre, this month to start with

Meals and Money per Day

  • One line per outlet, day and session, built every night for the day before and the day before that
  • Plan Meals (members entitled), Opted Out, Plan Meals Served, No-shows (neither opted out nor served), Token Meals
  • Dishes Sold, Plates, Revenue, Entity Share, Food Cost, Margin, Cost per Plate, Food Cost %, Plan Meals Taken %
  • Filters This Month and With No-shows; groupings by outlet, kitchen, session, Entity and day
  • Rebuild Statistics builds the figures again for a period and chosen outlets, keeping managers' notes

Across Entities and on the phone

  • Each report shows the Entities you work in; group by Entity to compare them
  • In the Manager app: revenue, food cost, margin, plates and waste per day for 7, 30 or 90 days, for the outlets you manage
  • The cashier's shift report (X and Z) gives one shift's sales by payment mode in every plan

  • Web: Food Service > Reports > Kitchen and Meals > Meals and Money per Day and Rebuild Statistics
  • The SmartMy Feast Manager app: Reports > Kitchen and Meals > Meals and Money per Day (built and in testing, not in the app stores yet)
  • Not for diners or parents: they see their own history in the SmartMy Feast app and the portal, never these reports
  • Not built: sales reports emailed on a schedule

What you control

Settings

  • Cost centre on a sale: the guest meal's cost centre, or the staff member's department with SmartMy HRMS. Or the host department of a visitor with SmartMy VMS
  • Payment modes and customer types: under Food Service > Configuration > Billing and Configuration > Customers

Works with

SmartMy HRMSA staff member's meals carry their department's cost centre, so subsidy shows by department.
SmartMy VMSVisitor meals carry the host department's cost centre.

Questions

Can I see today's sales by counter and payment mode?

Yes. In Sales Analysis group by Day and Counter; in Payments Analysis group by Payment Mode. Each cashier's shift report also lists the shift's sales by payment mode.

Do reversed bills count?

No. Only paid bills are in the sales reports. A bill reversed later drops out of them.

What is a no-show?

A plan member entitled to the meal who neither opted out nor was served. Meals and Money per Day counts them per outlet, day and session.

Who can see what a named customer bought?

Accounts staff and Food Administrators can group Sales Analysis by customer, students included. Cashiers, diners and parents cannot open these reports; a parent sees only their own child's history in the app.

Why are today's meal figures empty?

Meal figures are built every night. Use Rebuild Statistics to build them now. Prepared and Served in the Manager app also builds the last seven days again when you open it.

Which plan has these reports?

Sales, payments, subsidy and meal reports come with Scale. The shift report with X and Z is in every plan.
