Sponsor packages
Offer packages such as Title sponsor, Gold or Stage partner, each with what it includes, a price and how many can be sold. Record each sponsor, confirm, invoice, and issue the complimentary tickets the package includes.
PLANSScale only
The problem it solves
- Sponsor deals are agreed on the phone and nobody has the list of who gets what.
- Two companies are both promised the title sponsorship.
- Sponsor invoices are raised late, or not at all.
- Sponsors' passes are handed out from a drawer with no record.
How it works
- On the event's Sponsors tab, add the packages: name, What it Includes, Price and Tax, How Many, and any complimentary tickets.
- Open Events > Sponsors and click New. Choose the event, the package and the sponsor; the price can be changed to what was agreed.
- Click Confirm when the sponsor agrees. The package is counted, and never more are confirmed than there are.
- Click Invoice. An ordinary customer invoice is posted; the sponsor becomes Paid by itself when the invoice is paid.
- If the package includes tickets, choose the session and click Issue the Complimentary Tickets. They go to the sponsor like any others.
Everything it does
A package
- Name, What it Includes, Price and Tax
- How Many: 1 to start with; 0 means no limit
- Complimentary Tickets of a ticket type, and how many
A sponsor
- Event, Package, Sponsor (a contact), Price as agreed and a note
- Status: Proposed, Confirmed, Invoiced, Paid, Cancelled
- The price, package and sponsor cannot change once invoiced
- Only a proposed sponsorship can be deleted; an invoiced one is cancelled after its invoice is credited
Money
- A customer invoice on the event's Sponsorship Income Account, else the ticket income account
- Send it and take the payment as for any invoice
- No SmartMy fee on sponsorship
Complimentary tickets of a package
- Issued once, for one session you choose, after the sponsorship is confirmed
- They say VIP and count in the event's limit of complimentary tickets
