Several entities in one account

Run the websites of the companies or brands in your group from one SmartMy Website account. Each website belongs to one Entity, with its own members, bookings, orders and currency. A person allowed in several Entities switches between them.

The problem it solves

  • Each brand of your group has its own site builder, login and bill.
  • The salon brand's staff must not see the clinic brand's bookings and members.
  • Orders from two brands land in one list, with the wrong company on the invoice.

How it works

  1. Add each company or brand as an Entity under Administration > Users & Entities > Entities, with its address, country, currency and time zone.
  2. Give each person the Entities they may work in, under Allowed Entities on the user.
  3. Switch to an Entity at the top and make its website there. The site belongs to that Entity.
  4. Everything of the site belongs to the same Entity: pages, members, bookings, collections, form entries and shop orders.
  5. Tick several Entities in the switcher to see their websites and lists together.

Everything it does

What belongs to each Entity

  • Its websites, pages, pictures, fonts, films and 3D models
  • Members and memberships, bookings and booking services, collections and saved sections
  • Form entries, shop orders, subscriptions, saved payment methods and return requests

Set by the Entity

  • The shop's main currency and the daily currency rates
  • The time zone of booking times
  • The return approval chain, one per Entity
  • Notification channels and wording, following the group until changed

Shared across the account

  • Free addresses are unique across SmartMy, so two sites never share one
  • Contacts: a buyer of two brands can be one contact

Questions

Can one person look after two brands' websites?

Yes. Allow them in both Entities and switch at the top, or tick both to see the two sites together.

Will one brand's staff see the other's members?

No. Members, bookings and orders belong to the Entity of their website. People see only the Entities they are allowed in.

Can two websites of one Entity sell in different currencies?

The main currency comes from the Entity. Each site can also sell in more currencies on Scale.

Is a second website the same as a second Entity?

No. Several websites can belong to one Entity. A further Entity is for a separate company or brand with its own records.
