Website Editor and Manager roles

Two roles split the work on your website. Editors change pages, words, pictures and the design, and look after entries, bookings and members. Managers also publish, set up the shop and its payments, and own the domains.

The problem it solves

  • An intern's half-finished page went live because everyone could press Publish.
  • The person writing blog posts could also change the payment keys.
  • You cannot tell who published last week's change.

How it works

  1. Give each person a role in Settings > Users > the user > Websites: Website Editor or Website Manager.
  2. Editors open the editor and change the site. In place of Publish they see "A manager publishes".
  3. Managers review the changes, run the checks and press Publish, or set a time to publish later.
  4. Every published version records who published it, and a Manager can bring back an earlier one.

Everything it does

Website Editor

  • Pages, sections, words, pictures, design, menus, blog posts, collections and saved sections
  • Form entries, bookings, members, products online, orders, reviews, questions and wishlists
  • Write with AI and the other AI buttons
  • Cannot publish, schedule, bring back versions or change custom code
  • Cannot change payment accounts, delivery methods, discount codes, shop settings or domains

Website Manager

  • Everything an editor can do
  • Make new websites; publish, unpublish, publish later, bring back a version
  • Own domains, shop settings, payment accounts, delivery and discount codes, more currencies
  • Memberships, Instagram and Google reviews, custom code in the page head and body
  • Usual approver of return and replace requests
  • Website > Configuration > Settings

Records

  • Each published version keeps its number, date and who published it
  • Changes to sites, members, bookings and subscriptions are kept in their history

Questions

Can an editor put a change live?

No. Editors save their changes, and a Website Manager publishes them, now or at a set time.

Who can see payment keys?

Only Website Managers. Editors see the payment accounts but not the keys and secrets.

How many people can work on the site?

Two people with a Website role on Starter, 5 on Growth and 15 on Scale. Packs of 5 more can be added.

Do buyers or members need a login from us?

No. They sign in on the website itself with a code sent to their email, and they are not counted as users.
