E-invoice and e-way bill

For Indian entities, posting a B2B bill registers it on the government e-invoice system and prints the IRN and signed QR on it. E-way bills come from the bill, the delivery challan or a shop transfer, with the transporter, vehicle and LR already filled in.
PLANSEvery plan
Built from NIC's published API; not yet run on a real NIC or GSP connection. We test it with you before go-live.

The problem it solves

  • Bills are typed a second time into a GSP's site to get the IRN.
  • The truck waits outside the godown while someone makes the e-way bill on the government site.
  • The vehicle number and LR are written on the bill and typed again on the e-way bill, with mistakes.

How it works

  1. Tick E-Invoicing for each Entity above the turnover limit. Add the connections under Trade > Configuration > General > GST Portal Connections, directly with NIC or through your GSP.
  2. Before a bill posts, SmartMy Trade checks what the portal would refuse. That is HSN on every line, GST, GSTINs, addresses, 6-digit PIN, state and the bill number.
  3. Posting a B2B, export, SEZ or deemed export bill, credit note or debit note sends it at once. The IRN, acknowledgement and signed QR come back and print on the bill.
  4. Write the transporter, vehicle and LR on the bill's Transport tab or on the challan. Press E-Way Bill: they are already on the form. Check the distance and press Generate E-Way Bill.
  5. Goods sent between your shops under one GST number get an e-way bill on the transfer's delivery. It is a delivery challan for own use, at cost, without tax.

Everything it does

E-invoice (IRN)

  • B2B, export, SEZ and deemed export bills, credit notes and debit notes; sales to consumers and unregistered buyers are not e-invoiced
  • IRN, acknowledgement number and date, and signed QR kept on the bill and printed on its PDF
  • Incomplete data stops posting to start with (Stop Posting Incomplete E-Invoices)
  • A refusal shows on the bill in red with the portal's code; fix it and press Send E-Invoice
  • Portal not reachable: the bill stays To Send and is tried again every 30 minutes

Cancelling

  • Cancel E-Invoice within 24 hours of the IRN, with a reason and a remark
  • Not while the IRN has an active e-way bill: cancel that first
  • After 24 hours, make a credit note; a bill with an IRN cannot go back to draft

E-way bills in Trade

  • From a posted bill (by its IRN when it has one), a delivery challan, or a receipt
  • Transporter, its GSTIN, vehicle number, LR number and date taken from the bill's Transport tab or the challan
  • Shop transfers: delivery challan, For Own Use, from the sending shop's address to the receiving shop's, at cost, no tax
  • Between two GST numbers, use the inter-company order, whose bill carries the e-invoice and e-way bill
  • Update Part-B, Extend Validity (8 hours either side of its end), Cancel within 24 hours
  • A banner on documents above the limit (Rs 50,000 to start with) that have no e-way bill
  • All e-way bills under Trade > Sales > Trade Documents > E-Way Bills

The connection

  • One connection per Entity (GST number) for e-invoice and one for e-way bill
  • Direct NIC API, or a GSP with its URL, headers, paths, and NIC encryption or plain JSON
  • Sandbox or Production; Test Sign-in checks it
  • No per-bill charge from us; you pay your GSP if you use one

Where you use it

  • Web: E-Way Bill on delivery challans and shop transfer deliveries
  • Not in the SmartMy Trade app: bills made on the phone get their IRN when posted, but e-way bills are made on the web
  • Not built: consolidated e-way bills, multi-vehicle movement, the B2C dynamic QR code and the portal's GSTIN lookup

What you control

Questions

Do we need a GSP?

No, if NIC gives your Entity direct API access. Otherwise use your GSP's URL and keys. Either way SmartMy Trade sends the bills itself.

Is it live with NIC today?

Not yet. It is built from NIC's published API and checks bills against NIC's schema. We test it with you before go-live.

Do we retype the vehicle and LR on the e-way bill?

No. What is written on the bill's Transport tab or the challan fills the e-way bill form.

What about goods moved between our own shops?

The transfer's delivery gets an e-way bill as a delivery challan for own use, at cost and without tax, between the two shop addresses.

Can we cancel an e-invoice?

Yes, within 24 hours of the IRN and after cancelling its e-way bill. After that, make a credit note.
