Freight, packing and transport charges on bills

Freight, packing, loading and cartage go on the bill as lines of their own. The transporter, vehicle number and lorry receipt (LR) are kept on the bill and printed on it. So the party knows what was charged and how the goods travel.
PLANSEvery plan

The problem it solves

  • Freight is added to the item rate, so the party argues about the rate.
  • The LR number is written on the back of the bill copy and is lost when the party asks where the goods are.
  • Packing and loading charges are forgotten on half the bills.
  • Nobody can say later which transporter carried a consignment.

How it works

  1. On a bill, add Freight, Packing, Loading or Cartage as a line like any item, with the amount charged.
  2. Open the Transport tab and fill the Transporter (a party), the Vehicle Number, the LR Number and the LR Date.
  3. Post the bill. The charges are part of the bill's total, with tax as set on each charge.
  4. Print the bill: a Transport block shows the transporter, vehicle and LR with its date.

Everything it does

Charge lines

  • Four service items come ready: Freight, Packing, Loading and Cartage
  • They can be sold and bought, so the same charges go on supplier bills
  • A charge line never moves stock
  • Tax on each charge is whatever your administrator sets on the item; they come with no tax set
  • Add your own charge items (for example Hamali) as service items

Transport on the bill

  • Transporter: any party, so transporters are kept like other parties
  • Vehicle Number, LR Number and LR Date
  • On bills and returns, in the Transport tab
  • Each change is kept in the bill's history
  • Printed on the bill when any of them is filled

On delivery challans (Growth)

  • Sales order deliveries carry the same transporter, vehicle and LR, printed on the delivery slip
  • Goods Dispatched tells the party the challan, transporter, vehicle and LR

Who uses it

Billing ClerkAdds charges and fills the transport details on the bill.
Trade AdministratorSets the tax on each charge item and adds new charges.
StorekeeperGives the vehicle and LR number when goods leave.

Where you use it

  • Web: on every bill and return under Trade > Sales, as lines and in the Transport tab
  • Not in the app's Quick Bill: charges and transport are added on the web

What you control

Settings

  • Tax on Freight, Packing, Loading and Cartage: none until your administrator sets it
  • More charge items: add them as service items

Questions

Is GST charged on freight?

Freight is charged with the tax your administrator sets on the Freight item. Set it once to the rate your accountant gives you, and every bill uses it.

Can freight be split across items?

On sales bills, no: freight is its own line. On imports (Scale), freight and duty are spread into each item's landed cost.

Does the vehicle number go on the e-way bill?

In India, with the India pack, the e-way bill carries transport details. It has not yet run on the live government connection, so we test it with you before go-live.
