Supplier bills made from their e-invoice
When a supplier sends the JSON file of its GST e-invoice, upload it and SmartMy Trade makes the supplier bill. The supplier is found by GSTIN, with the bill number and date. Each line is matched to your item by name or HSN. Lines it cannot match are listed for you to fix before you post.
PLANSEvery plan
The problem it solves
- A supplier's 60-line invoice is typed in by hand, and one rate goes in wrong.
- The supplier's bill number or date is mistyped, so the GSTR-2B match shows it as missing.
- Your item names differ from the supplier's, and nobody knows which item a line was.
How it works
- Ask the supplier for the e-invoice JSON file, the one their software sends to the GST invoice portal.
- Open Trade > Purchase > Receiving and Paying > Bill from E-Invoice, choose the file and press Make Bill.
- SmartMy Trade finds the supplier by the seller's GSTIN, or adds it as a new supplier with its legal name and GSTIN.
- Each line takes the item with the same name as the supplier's description, else the first item with that HSN code. Quantity, unit price and discount come from the file.
- The draft bill opens with the supplier's invoice number as its reference and the invoice date. A note on it lists the items not found.
- Your purchase officer fixes the lines not found, checks the taxes and the total against the supplier's invoice, and posts the bill.
Everything it does
What is read from the file
- Seller's GSTIN and legal or trade name
- Invoice number and date (DD/MM/YYYY)
- Per line: description, HSN code, quantity, unit price and discount, turned into a discount %
- A file with a list of invoices: the first one is used
Matching
- Supplier by GSTIN; a new supplier is made when none has it
- Item by its name, ignoring capitals; else the first item with the same HSN code
- An unmatched line keeps the supplier's description with no item, and is named in a note on the bill
- Taxes come from your item's purchase taxes; a line with no item gets none until you pick it
What it does not do
- It does not check that the buyer GSTIN in the file is your Entity's, nor that the bill was not made before: check the reference
- It does not read the signed e-invoice or the QR code: only the plain JSON file
- It does not compare its total with the file's total: compare them before you post
- It does not fetch e-invoices from the GST portal: the supplier must send the file
- When several items share an HSN code, the first one is taken: check those lines

Questions
Where does the JSON file come from?
From your supplier. Their billing software makes it to register the e-invoice with the GST invoice portal. Ask them to send it with the PDF.Can I scan the QR code on the printed invoice?
No. The QR code holds a signed summary, not the lines. Upload the JSON file instead. What happens when an item is not found?
The line keeps the supplier's description with no item, and a note on the bill lists it. Pick your item on the line before posting. Is the bill posted by itself?
No. It opens as a draft so you can check lines, taxes and total against the supplier's invoice, then post it.Which plan has it?
Every plan, for Entities with the Indian chart of accounts.Related features
