Emergency button for residents

A resident in house presses Emergency on the portal or in the app. The wardens named on the property are told at once, at any hour, with the name, the room and the phone number. Each gets a to-do, the first manager too, and a high-severity incident is opened. Wardens, the desk and managers have an SOS of their own in the staff app.
PLANSFrom Growth

The problem it solves

  • A resident in a women's PG falls ill at night. The caretaker's number is not in her phone, or the caretaker does not pick up.
  • Help is called through a roommate, a group chat or the security guard, and the owner learns of it the next day.
  • After an emergency nobody can say when it was raised, who was told and what was done.

How it works

  1. The resident presses Emergency on the portal or the red SOS in the SmartMy Stay app. They pick what it is (Medical, Security, Fire or Other) and may add a message.
  2. The wardens named on the property are told at once, with the resident's name, bed and block, phone number and message. Each warden, and the first manager of the property, gets a to-do marked EMERGENCY.
  3. An incident with High severity is opened and marked Emergency in the Incidents list. Pressing again within 10 minutes adds to the same incident.
  4. The resident sees whom to call meanwhile: the property's phone number and the wardens who have a phone number.
  5. A warden, the desk or a manager can press SOS in the SmartMy Stay Staff app. The property's other wardens and its managers are told at once, and an emergency incident is opened.
  6. The caretaker calls or goes to the resident, then writes the Action Taken on the incident and closes it.

Everything it does

Who can press it

  • The resident, while checked in or on notice; guardians do not see the button
  • A message of up to 300 characters is optional; the alert can be sent at once
  • Medical opens a Health incident; Security and Fire a Security incident; Other an Other incident named Help needed

What the staff get

  • A message to every warden of the property, sent at once, at any hour
  • A to-do for each warden and for the first manager of the property
  • In the SmartMy Stay Staff app the alert is in the Inbox. Once app push is live, it will open full screen in red with a Call button
  • The incident: Emergency, High severity, the resident involved, the message; guardians are not told by it

When staff press SOS

  • The red SOS sits in the header of the SmartMy Stay Staff app, for the property in view
  • The same pop-up: Medical, Security, Fire or Other, and a message of up to 300 characters
  • The property's other wardens and all its managers are told at once, at any hour; the person who pressed it is not
  • Each of them gets a to-do marked EMERGENCY, with the name of the person who needs help
  • A High severity incident marked Emergency is opened for the property, with no resident on it; guardians are not told
  • The app then shows the property's phone number and the other staff who have a phone number
  • Opening the alert in the staff app goes to Incidents; pressing again within 10 minutes adds to the same incident

Without signal

  • The app sends the alert now or not at all: it never waits in a queue
  • Without signal it says nothing was sent and offers to call the property

Who uses it

ResidentPresses the button and calls the number shown.
Caretaker / WardenGets the alert and the to-do, attends, writes the action taken and closes the incident. Presses SOS in the staff app when they need help.
ManagerThe first manager gets a to-do for a resident's alert, and is messaged only if also named as a Warden. Every manager is told of a staff SOS at once.
Front deskCan press SOS in the staff app. Does not get the residents' alerts.
Owner / AdministratorNames the wardens and the property phone, and switches on the channels that reach a warden at night.

Where you use it

  • Web: in SmartMy Stay the menu is called Stay. The property records sit under Stay > Properties. Forms and message names still say Hostel in places, such as the Hostel field
  • Resident portal: the Emergency button on the home page
  • The SmartMy Stay app: the SOS in the header band, on every page; built and in testing, not in the app stores yet
  • The SmartMy Stay Staff app: the residents' alerts in the Inbox, and the staff's own SOS in the header. Built and in testing, not in the app stores yet
  • Web: the incident in Stay > Daily Life > Incidents, marked Emergency, and the to-do
  • Not a call to the police, fire service or ambulance: the button alerts the property's own staff only

What you control

Settings

  • Wardens on the property: name at least one, such as the caretaker or the night manager; a resident's alert goes to no one else. A PG with no warden named gets only the first manager's to-do
  • The channels of the Hostel Emergency event for your Entity: in the app and by email. WhatsApp and SMS use your message credits. App push comes once the apps are in the stores
  • The property's phone number, shown to the resident after pressing
  • The channels of the Hostel Staff Emergency event: in the app; WhatsApp and SMS use your message credits. App push comes once the apps are in the stores. It has no email

Notifications

  • Hostel Emergency: to the wardens named on the property; in the app and by email. WhatsApp and SMS use your message credits. App push comes once the apps are in the stores. It is transactional, sent at once even at night, and a warden can switch off a channel, never the alert
  • Hostel Staff Emergency: when staff press SOS, to the property's other wardens and its managers; in the app. WhatsApp and SMS use your message credits. App push comes once the apps are in the stores. No email. Sent at once even at night
  • For a resident's alert, front desk staff and managers not named as wardens get no message. Make sure WhatsApp or SMS reaches the wardens at night, and test the button once

Questions

Does it call an ambulance or the police?

No. It alerts the property's wardens and gives the resident the numbers to call. Residents should still call emergency services themselves when needed.

Can a warden call for help too?

Yes. Wardens, the desk and managers press SOS in the staff app. The property's other wardens and its managers are told at once, and an emergency incident is opened.

What if a warden's phone is on silent at night?

The alert goes in the app and by email. WhatsApp and SMS use your message credits. App push comes once the apps are in the stores. A to-do is added too. Make sure WhatsApp or SMS reaches the wardens at night, and test the button once.

Can a guardian press it for the resident?

No. Only the resident who is staying sees the button. A guardian should call the property.

What if the resident presses it many times?

Presses within 10 minutes are added to the same incident, so the wardens see one emergency with every message.

Are the guardian or the desk told?

Not by the resident's button. The emergency incident does not message guardians, and only the wardens named on the property are messaged. Name the right people as wardens before you go live.
