Driver attendance from duties, no duty on leave

With SmartMy HRMS, a chauffeur or operator on approved time off cannot be given a duty that day. A finished duty records the driver's attendance from its start to its end. Payroll then counts the days drivers really worked.

The problem it solves

  • A driver on approved leave is put on tomorrow's school run, and the coach waits at the depot.
  • Drivers start at the customer's gate at 06:30 and never pass the office biometric, so attendance shows them absent.
  • The HR team retypes duty slips into attendance at month end.

How it works

  1. Link each driver's login to their employee in SmartMy HRMS. The link between the two products switches itself on when both are there.
  2. When you give a duty its driver, the date is checked against the driver's approved time off. A driver on leave that day is refused, with the name of the leave.
  3. The driver starts and stops the duty in the Driver app or on the web.
  4. When the duty is done, an attendance from its actual start to its actual end is added for the employee, and the duty notes it.
  5. If the employee already has attendance over that time, for example from the office device, nothing is added, so no hours count twice.

Everything it does

Leave

  • Only approved time off blocks a duty; a request still waiting does not
  • The check runs when a planned duty gets its driver or its date
  • Leave approved after the duty was given does not take the driver off it: give the duty to someone else

Attendance

  • Check-in at the duty's start, check-out at its stop
  • The employee is found by the driver's login, in the duty's Entity or with no Entity
  • A driver with no employee record gets no attendance, and nothing is refused

Questions

Does a duty count twice if the driver also punched in?

No. When the employee already has attendance over the duty's time, no attendance is added for the duty.

What if leave is approved after the duty was planned?

The driver stays on the duty. The check runs when the driver or date of a planned duty is set, so give the duty to another driver.

Do we need SmartMy HRMS?

Yes. Without it, duties work as usual, with no leave check and no attendance.

Are duty hours paid as overtime?

The duty becomes attendance. How attendance turns into pay, including overtime, follows your SmartMy HRMS payroll rules.
