Client portal

Your clients log in to see their projects. They see status and health with your note, the tasks you let them see, the updates meant for them and the payments due and received. Clients are free; they do not count as users.
PLANSEvery plan

The problem it solves

  • Clients call or message every week to ask where their project stands.
  • Each client gets a different status email, written by hand, and some are forgotten.
  • The client is unsure which payment is due and which invoice it belongs to.
  • Giving clients a seat in the project tool costs a licence and shows them your internal work.

How it works

  1. On the project, a Projects Manager presses Portal Access for the Client. This gives the client company and its contact a portal login, and they get an email to set a password.
  2. The client's people on the team in a client role, such as Client Approver, see the project too.
  3. The client signs in and opens the Projects card under My Account. Overview lists their projects with the health of each.
  4. My Projects shows each project with its manager, planned finish, health and status.
  5. A project shows status, health with your note, dates and the project manager. Below come Tasks, Updates and Payments.
  6. You decide what shows: tick Client Can See on a task, and choose Client in Meant For on a feed item.

Everything it does

Which projects a client sees

  • Projects whose client is the person's company
  • Projects where the person is on the team now, in a role of the Client audience
  • Closed projects drop off; Planned, Running, On Hold and Completed show

A project page

  • Status, Health with the Health Note, Start, Planned Finish, Project Manager
  • Tasks: tasks marked Client Can See (not subtasks), with due date and stage
  • Updates: the last 20 project feed items meant for the client
  • Payments: milestones due and received, with due date, amount and status, and a link to My invoices
  • A section shows only when there is something in it

The portal itself

  • The same SmartMy portal frame as your other products: menu, light and dark theme, All my apps
  • Password and security, and sign out, from the person's menu
  • Works on a phone browser

Without a login

  • Every update message carries a signed link to the client's own feed page, with no password
  • Key event invitations open their own reply page

Questions

Can clients approve work or sign off deliverables on the portal?

Not in SmartMy Projects yet. The portal shows progress, tasks, updates and payments. Sign-off happens at a key event or by email; approvals by the client on the portal are not built.

Can the client comment or upload files?

Not yet. The client reads updates, opens photos and files, and taps Seen on items that ask for it.

Does the client see our hours or costs?

No. Time entries, rates, budgets and internal tasks are never on the portal.

Do clients cost a licence?

No. Portal users are free, however many people the client has.

Which plan has it?

Every plan, Starter included.
