Client portal: approve posts, see the calendar, send files

An agency's clients sign in to their own portal to approve or send back posts with a note. They see what is scheduled for the next 60 days and send logos, photos and briefs, without a back-office login.

The problem it solves

  • Post approvals run through WhatsApp screenshots and get lost.
  • The client asks every week what is going out next.
  • Logos and photos arrive by email, in five threads.

How it works

  1. The agency adds the client's people to the client and presses Client Portal Access. Each gets an invitation email to set a password.
  2. The agency writes a post, ticks Needs Approval and presses Send for Approval.
  3. The client person signs in and opens Marketing on /my, which leads to /my/marketing.
  4. Under To Approve they read the post with its text, accounts and pictures, write a note if needed, and press Approve or Ask for Changes.
  5. Approve schedules the post. Ask for Changes sends it back to the agency as Rejected with their note, and the decision is written on the post.
  6. Under Files they send files up to 25 MB each, and the account manager is told.

Everything it does

Overview

  • To approve, Scheduled, Published this month, and Customers who wrote this month
  • The next posts coming up

To Approve

  • Each post waiting: text, link, accounts and media
  • Note for the agency; Approve or Ask for Changes
  • Only posts of the client's own Entity

Calendar

  • Scheduled, published and waiting posts from 30 days back to 60 days ahead

Files

  • Send several files at once, up to 25 MB each
  • The list of files on the client, with the date
  • The account manager gets a message on the client

Look and access

  • The portal shows the client's name, with light and dark themes
  • Only the client's people with portal access; one client per person

Who uses it

Account managerGives portal access, sends posts for approval and picks up files.

Where you use it

  • Client portal: /my/marketing (Overview, To Approve, Calendar, Files), in a phone's browser too
  • Web: the client form for portal access and files
  • Not in the phone app: this is done on the web. The SmartMy Marketing app covers chats, contacts, posts, leads and campaigns
  • Not for ads or results beyond the overview: those come in the monthly report

What you control

Settings

  • Client People on the client: who gets portal access
  • Needs Approval on each post

Approvals

  • Social post: with approval chains, the agency names the client's people in the client Entity's Social post chain

Notifications

  • Client Portal Access: an invitation email to each new portal person
  • Files sent: a message to the account manager on the client

Questions

Does the client need a paid user?

No. Client people get a portal login, which is not a back-office user.

Can the client edit the post?

No. They approve it or ask for changes with a note; the agency edits and sends it again.

Can several people at the client approve?

Yes. Each person on Client People gets a login, and any of them can decide. Use the Social post approval chain for more levels.

Can the client see ad spend?

Not on the portal. The monthly client report has posts, chats, broadcasts, journeys, leads from ads and chat sales.
