Agency clients, each with its own entity and team
An agency keeps each client as its own Entity in one SmartMy Marketing account. The account manager and the agency team switch to the client's Entity to run its inbox, posts, ads and journeys. The client's people get a portal of their own.
PLANSFrom Growth
The problem it solves
- One login per client on every tool, and passwords in a shared sheet.
- A post meant for one client goes out on another client's page.
- When a team member leaves a client, nobody knows what they could still see.
How it works
- A Marketing Manager opens Marketing > Clients and presses New: the client's name, email, phone and website.
- Under Agency, choose the Account Manager (you to start with) and the Agency Team.
- On Client People, add the client's people who will approve posts and read results.
- Press Make the Client's Entity. The client gets its own Entity, and the account manager, the team and you get access to it.
- Press Client Portal Access to send each client person a portal login by email.
- To work for the client, switch to its Entity at the top right; what you make there belongs to that client.
Everything it does
The client
- Client, Status (Active, Paused, Ended), email, phone, website and notes
- Account Manager, Agency Team and Client People
- Client Entity, made with Make the Client's Entity, in the agency's currency and country
- Buttons: Posts (the client's social posts) and Files (what the client sent)
- Filters Active and Mine (you manage it or are on its team); group by Account Manager and Status
Inside the client's Entity
- Its own connected numbers, Instagram and Facebook pages, mailboxes, web chats and ad accounts
- Its own lead lists, posts, ads, journeys, broadcasts, conversations and results
- Its own contacts and consent: contacts Marketing makes for it are its own, and an opt-in or a STOP counts only for it
- Adding a person to the Agency Team gives them that Entity. Taking them off does not take it away, so remove it in Settings > Users
Under SmartMy's name
- No white label: the portal and reports say SmartMy Marketing, with your agency's name
More for agencies
- Client portal and the monthly client report (Growth)
- Copy a set-up to a new client, usage per client, retainers and the month's invoice (Scale)

Questions
Is it white label?
No. The portal and the reports say they were prepared by your agency with SmartMy Marketing.Does each client need its own WhatsApp number?
Yes. Each client connects its own numbers and pages in its Entity. Its contacts and consent stay apart: an opt-in or a STOP given to one client counts only for that client. What happens when someone leaves a client's team?
Taking them off the team does not remove their access to the client's Entity. Remove that Entity from the user in Settings > Users. Are a client's contacts hidden from other clients?
Yes. Contacts Marketing makes for a client, from forms, lead ads, chats, store orders, the API and imports, belong to its Entity. Its broadcasts, segments and journeys reach only those contacts.Which plan has it?
Growth and Scale. Copying a set-up, usage per client and invoices are in Scale.Related features
