Recall list: forward to customers, back to suppliers
Pick a lot or serial number and see, in one list, every lot made from it and every customer who received them. Or go backwards: every component lot and supplier that went into it. Export the list and call the right customers.
PLANSFrom Growth
The problem it solves
- A supplier warns that one lot of resin was bad, and you cannot say which finished batches used it.
- A customer complains about a batch, and finding its raw material lots takes two days of going through registers.
- You recall a whole month's output because you cannot narrow it down to the customers who got the affected lots.
- An auditor asks for the full trace of a batch and you have only paper.
How it works
- Track your items by lot or serial number, so that receipts, production and deliveries record them.
- Open Manufacturing > Reporting > Recall List and pick the lot or serial number.
- Choose Where It Went (Forward) or What Went Into It (Backward), and press Show.
- Forward lists, step by step, each lot made from it (Made Into) and each customer it was sent to (Sent to Customer). Each has the item, lot, quantity, document and date.
- Backward lists each component lot it was made from (Made From) and the supplier each lot came from (Came from Supplier).
- Filter to customers, group by customer or supplier, and export the list to a spreadsheet to send letters or make calls.
Everything it does
Forward
- From a lot: every production order that used it, the lots made, and the lots made from those, level by level
- Every delivery of each of those lots to a customer, with the customer's company
- Up to 15 levels deep
Backward
- From a lot: the production order that made it and every component used, with its lot
- Component lots are followed back through their own production orders
- Every receipt from a supplier of each of those lots, with the supplier's company
- Components with no lot are listed, but the trail stops there
The list
- Step, what (Sent to Customer, Made Into, Came from Supplier, Made From), item, lot or serial, quantity, unit, customer or supplier, document, date
- Filter Customers; group by customer or supplier, or by what
- Export to a spreadsheet from the list
- Built from finished stock moves only; nothing is changed
Who uses it
Quality ManagerBuilds the list when a lot is suspect and decides who must be told.
Production ManagerTraces a customer complaint back to raw material lots and suppliers.
SupervisorCan open the recall list from Reporting.
Where you use it
- Web: Manufacturing > Reporting > Recall List
- Not in the SmartMy Manufacturing app
- Not a recall workflow: it gives the list; letters, calls and returns are done by your team
What you control
Settings
- Per item: tracking by lot or by serial number (Odoo's item setting). Items not tracked cannot be traced
Questions
Do we need lot numbers for this?
Yes. The list follows lots and serial numbers through receipts, production and deliveries. Items that are not tracked cannot be traced.Does it follow sub-assemblies?
Yes. A raw material lot is followed into the sub-assembly lots made from it, then into the finished lots made from those. It goes up to 15 levels, and on to each customer who received them. Can we send the list to someone?
Yes. Export it from the list view to a spreadsheet, grouped by customer if you like.Does it start the recall?
No. It tells you which lots went where. The calls, letters and returns are done by your team, and a non-conformance can be raised in Quality.Who can use it?
Anyone with access to Manufacturing, such as supervisors and managers. It shows customer and supplier names, so give the Manufacturing app only to the right people.Related features
PLANNING, QUALITY AND COSTQuality checks with sampling (AQL), held lots and non-conformanceCheck material as it comes in, each step on the floor, the finished product and goods going out. Each check has a sheet and a sample worked out from the lot. A failed check holds the lot, raises a non-conformance whose decision is approved, and a Rework decision makes the rework order.PLANNING, QUALITY AND COSTAs-built record of a lotPrint a record of exactly how a lot or serial number was made. It has the order and bill of materials, each component with its lot, and each step with its machine and time. It also has the operators, the rejects and the quality checks with their values.PRODUCTION AND JOB WORKBills of materials, production orders and work ordersKeep each item's bill of materials with its components and the steps on your machines. A production order reserves the material, lays out the work orders step by step and puts the finished goods into stock at cost.PLANNING, QUALITY AND COSTProduction reports: plan against actual, material against BOM, scrap by reasonThree ready reports for the production manager. What was planned and what was made, by item and month. The material planned and used on orders. What was scrapped, by reason. Each opens as a pivot you can turn, filter and export.PLANNING, QUALITY AND COSTSupplier quality and certificates of analysisPrint a certificate of analysis for any lot from the checks it passed, with each test, its limits and the measured result.
