Rent paid online through pay links

Tenants pay their rent bills online through your own payment provider, from their web page or the app. You can also send a pay link for any amount, take a deposit online, or charge a saved card or mandate on each bill.

The problem it solves

  • Tenants pay by transfer with no reference, and accounts match them by hand.
  • An advance or a deposit is asked for by phone and chased for days.
  • Card details are written down in the office to charge each month.

How it works

  1. Set up your payment provider account in the system once (a provider the platform supports, such as Stripe or Razorpay).
  2. Posted rent bills appear on the tenant's web page and in the app; each opens the bill page where the tenant pays online.
  3. For any other amount, press Ask for Payment on the lease. A payment request with its link is made and sent to the tenant.
  4. On a deposit, Ask Online makes a link for what is still to take; the payment lands on the deposit account.
  5. When the provider confirms, the request shows Paid, the payment is on the tenant's account, and the tenant gets a receipt.
  6. Optionally set a billing cycle to Charge the Saved Card: each bill is posted and charged. When it cannot be, a pay link and a to-do follow.

Everything it does

Pay links

  • Ask for Payment on a lease: an advance or any amount, with a link to the payment page
  • Payment requests for an invoice use the invoice's own payment so it is matched
  • States: Waiting, Held on the Card, Paid, Failed, Cancelled
  • The tenant's Payments page lists their requests with a Pay button

Deposits online

  • Ask Online on a deposit
  • Paid: recorded on the deposit, on the deposit account
  • Held on the card where the provider allows it: Take from Hold for part or all, Release Hold for the rest

Saved card or mandate

  • A saved card or mandate on the lease
  • Billing cycle setting Charge the Saved Card: bills are posted and charged
  • A provider that cannot charge saved cards, no saved card, or a failed charge: a pay link and a to-do for the lease's salesperson

Providers

  • Any payment provider the platform supports; what a provider cannot do (save cards, hold, refund) is read from the provider
  • The payment goes to your own provider account

Where you use it

  • Web: Ask for Payment on the lease, Ask Online on the deposit
  • Tenant web page: bills with online payment, and the Payments page
  • The SmartMy Lease app (Money): bills and payments, opening the bill page to pay (built and in testing, not in the app stores yet)
  • Not UPI AutoPay or bank mandates of their own: mandates work only where your payment provider offers them

What you control

Settings

  • Charge the Saved Card: off to start with, per billing cycle
  • Refund on cancel: a setting per Entity

Notifications

  • Rental Payment Link: the link to the tenant, by email, WhatsApp, SMS and in-app, where your messaging is set up
  • Rental Payment Received: a receipt to the tenant on the same channels
  • Each person can switch off a channel, such as email, for themselves; in-app notices always arrive

Questions

Can tenants pay online?

Yes. Each posted bill opens a page with online payment through your provider, on the tenant's web page and in the app.

Whose payment account is used?

Yours. Payments go through your own account with your provider, and land on the tenant's account in your books.

Can we charge the tenant's card each month?

Yes, where your provider can charge saved cards or mandates. Set Charge the Saved Card on the billing cycle; a failed charge becomes a pay link and a to-do.

Can the deposit be paid online?

Yes. Ask Online on the deposit sends a link; the payment is recorded on the deposit, on the deposit account.
