Cleaning jobs after each check-out, with linen and amenities

Every check-out makes a cleaning job for the unit with its checklist, due by the next arrival. The unit shows Not Ready until the cleaner ticks every step and adds the photos asked for; issues found become repair requests.

The problem it solves

  • Cleaners are sent by phone message, and a unit is missed before a late arrival.
  • A guest finds the unit dirty because nobody checked the cleaning was finished.
  • Linen and amenity use is unknown until the store runs out.
  • A broken tap seen by the cleaner is never reported.

How it works

  1. Set up checklists once in Lease > Configuration > Upkeep and Checks > Cleaning Checklists. Add steps per unit type, Photo Needed where you want proof, and the usual time.
  2. When a guest checks out, a cleaning job is made: the unit, from now, ready by the next arrival, and the checklist. The unit is marked not ready.
  3. Cleaners see their jobs in the Staff app under Operations > Checks and Upkeep > Housekeeping, or on the web, filtered Open, Mine and Due Today.
  4. The cleaner presses Start, ticks the steps, adds photos, counts linen sets and amenity packs, writes any issues and presses Done.
  5. Done is refused until every step is ticked and, where a step asks for one, a photo is added. The unit is ready again.
  6. A supervisor marks the job Inspected. Issues written on the job become a maintenance request with the photos.

Everything it does

Checklists

  • Name, unit types it is for (empty for every type), steps with Photo Needed, usual time, Entity
  • The checklist for the unit's type is used, else the one for every type

Cleaning jobs

  • Unit, property, after which stay, checklist, from, ready by, cleaner, steps, photos
  • Linen sets used and amenity packs used
  • Issues found
  • To Do, Cleaning, Done, Inspected, Cancelled; only a job not started can be cancelled

Unit readiness

  • A unit with an open cleaning job is not ready
  • It is ready again when its last open job is done or cancelled

Repairs from cleaning

  • Issues written on a finished job become a maintenance request of the unit, with the job's photos, paid by the landlord to start with

Questions

Who is the cleaner on a new job?

Nobody until someone assigns it or a cleaner presses Start, which takes the job.

Are linen and amenities taken from stock?

No. The job records the linen sets and amenity packs used; stock is not reduced by itself.

What if a step needs a photo?

Done is refused until the job has photos. One set of photos covers the job's photo steps.

Do cleaners need the app?

No. They can work jobs on the web too. The Staff app is built and in testing, not in the app stores yet.

Which plan has it?

Scale.
