AI writes listings and sorts repair requests
Press Write with AI on a listing to get a title, description and photo captions from the unit's facts and photos. Press Sort with AI on a repair request, or let it run on every tenant request. You get the kind, urgency, likely cause, advice for the tenant and the trade needed.
PLANSFrom Growth
The problem it solves
- Every vacant unit needs a listing, and writing one well takes your agent half an hour.
- Listings promise things the unit does not have, or describe who should live there, which can break fair-housing rules.
- Tenants do not know what to do while they wait, and a small leak becomes a ruined floor.
How it works
- On a Growth or Scale database the AI action is installed with the plan. To use it, switch the feature on in Lease > Configuration > Settings (it starts off). Your administrator switches AI on for each person in Administration > AI > AI Users.
- On a draft or withdrawn listing, pick the tone (Plain and factual, Warm or Premium) and press Write with AI.
- The AI reads the unit's facts and up to 8 photos. It writes the title, two to four paragraphs, up to 8 key facts and a caption per photo, and picks the cover. The old description is kept in the listing's history.
- Check the text and publish the listing as usual.
- On a repair request that is new, assigned or on hold, press Sort with AI. Or switch on Triage every tenant request by AI: requests from the app, the portal and WhatsApp are sorted once saved.
- The request gets its kind, a room if none was given, the likely cause, advice for the tenant and the trade needed. A red band shows if the AI saw a danger.
Everything it does
Write with AI on a listing
- Facts sent: the unit's type, rooms, area, furnishing, features, price, availability and the property's city
- Up to 8 photos, each up to 6 MB
- Tone: Plain and factual, Warm (to start with) or Premium; written in the user's language
- The AI is told to use only the facts given. It must never say who the home suits (no family, age, religion, nationality or gender wording)
- Writes the title, description, captions and cover photo straight onto the listing; the description before is posted in the listing's history
- Only on draft or withdrawn listings, so a live listing is never rewritten
Sort with AI on a repair request
- Sends the problem, room, details, unit type and up to 3 photos from the report
- Email addresses and phone numbers are removed from the text before it is sent
- Urgency: emergency (danger now), high (a main service lost), normal (can wait a few days), low (cosmetic)
- Kind: changed only when the request is Other
- Urgency: raised, never lowered, except that a Normal request can be set to any level
- Fills Likely Cause, Tell the Tenant, Trade Needed and AI Saw a Danger
- The AI does not promise dates or costs
Automatic sorting
- Triage every tenant request by AI: requests from the app, the portal and WhatsApp
- Runs after the request is saved, so the tenant never waits for the AI; if the AI fails, the request stays as it was

Where you use it
- Web: the listing form (Write with AI) and the repair request form (Sort with AI)
- Web: Administration > AI (AI Users, Allowance, AI Usage) for your administrator
- Not in the apps as a button; tenant requests from the app are sorted automatically when that switch is on

Questions
Is the AI in my plan?
It comes with Growth and Scale, not Starter. On those plans the AI action is installed. It runs once your administrator switches AI on for the people who use it, and the feature's switch is on. Each use takes AI credits from the plan's monthly allowance. Will the AI publish a listing by itself?
No. It writes on a draft or withdrawn listing only. You read the text and publish the listing yourself.Does the AI change the urgency my staff set?
It can raise it, never lower it, except that a request left at Normal can be set to any level. It changes the kind only when the request is Other.Does a tenant's phone number go to the AI?
No. Email addresses and phone numbers in the request are replaced before the text is sent.Where does the AI run, and is my data kept by it?
Requests go from your database to the SmartMy AI service of your subscription, which holds the AI provider key. Every call is logged in Administration > AI > AI Usage, with the feature, the person and the result.Related features
