AI spots damage and suggests repair costs

At move-out or an inspection, press Spot Damage with AI. The AI compares each new photo with the same angle from the previous check and adds new damage. Suggest Costs with AI then gives a typical repair cost for each new damage line, ready for deposit deductions.
PLANSFrom Growth

The problem it solves

  • Move-out photos are compared with move-in photos by eye, and a chipped worktop is missed.
  • Deduction amounts are guessed, and tenants dispute them.
  • The check takes so long that the next tenant's move-in slips.

How it works

  1. On a Growth or Scale database the AI action is installed with the plan. To use it, switch the feature on in Lease > Configuration > Settings (it starts off). Your administrator switches AI on for each person in Administration > AI > AI Users.
  2. Do the check as usual, on the web or in the Staff app, taking photos by the template's angles.
  3. While the check is in progress, press Spot Damage with AI. It needs a previous check of the unit.
  4. The AI compares up to 12 photo pairs. Each new damage gets where, what, minor or major, how sure it is, and the photo.
  5. Press Suggest Costs with AI. Each new damage line without a cost gets a typical cost in your currency, with a note. Fair wear and tear costs 0.
  6. Decide which lines to charge the tenant. AI lines start as not charged, and the costs feed the deposit deductions.

Everything it does

Spot damage

  • Compares each photo with the previous check's photo of the same angle; an angle with no earlier photo is checked for clear damage only
  • Damage already known from the previous check is left out
  • Ignores dirt, water, reflections, light and angle changes
  • Up to 12 photo pairs, each photo up to 9 MB
  • Lines marked Found by AI with AI Confidence (%); a note says how many were found or that none were

Suggest costs

  • For new damage lines without a cost
  • Uses the item, your Entity's city and country and its currency
  • Parts or materials and labour, not a full replacement unless the words say so
  • Lines marked Cost by AI with an AI Cost Note

Rules

  • Only on checks still in progress
  • AI lines are never charged to the tenant until staff tick them
  • Staff can change or delete any line

Questions

Is the AI in my plan?

It comes with Growth and Scale, not Starter. On those plans the AI action is installed. It runs once your administrator switches AI on for the people who use it, and the feature's switch is on. Each use takes AI credits from the plan's monthly allowance.

Will the tenant be charged for what the AI finds?

Not by itself. AI lines start as not charged; your staff decide which to charge, and the deposit deduction follows.

What if there was no move-in check?

Spot Damage needs a previous check of the unit to compare with. Without one, add damage by hand; Suggest Costs still works on lines you add.

Can I use it from the phone?

Yes. The Staff app's check screen has both buttons. The app is built and in testing, not in the app stores yet.

Where does the AI run, and is my data kept by it?

Requests go from your database to the SmartMy AI service of your subscription, which holds the AI provider key. Every call is logged in Administration > AI > AI Usage, with the feature, the person and the result.
