Courses made by learners, reviewed before publishing

Give the people who know a topic the Learn Contributor role. They build courses of their own, and every one goes through review before anyone else sees it.

The problem it solves

  • Your best salesperson knows the product better than any trainer, and has no way to share it.
  • Staff write how-to notes in shared folders nobody can find.
  • If anyone could publish, wrong or half-made courses would reach everyone.

How it works

  1. An administrator gives a staff member the Learn Contributor role on their user.
  2. The contributor opens Learn > My Learning > Courses I Made, presses New and builds the course: sections, lessons, files, quizzes.
  3. When it is ready, they press Send for Review. They cannot publish, change the owner or editors, or move it to another Entity.
  4. The course waits on the Course publishing approval chain: Learn Managers to start with, or the levels you set.
  5. Published, it is marked Made by a Learner, and enrolment works as for any course.

Everything it does

What a contributor can do

  • Make courses, sections and lessons, and change them while they own the course
  • See only their own courses
  • Send for Review; the only change of status allowed to them

What they cannot do

  • Publish, refuse or take back a course
  • Change the owner, the editors, the Entity or the published date
  • Delete a course

Review

  • The approval chain Course publishing; Learn Managers to start with
  • A refused course goes back to draft for the contributor to fix
  • The filter Made by Learners in Learn > Manage Courses > Courses > Courses

Where you use it

  • Web: Learn > My Learning > Courses I Made (contributors and authors)
  • Web: Learn > Manage Courses > Courses > Courses, filter Made by Learners (managers)
  • Not in the app: courses are built in the web back office
  • Not for portal learners: the role is for people with a staff login, so students and outside learners cannot be contributors

What you control

Settings

  • Who is a contributor: the Learn Contributor role, given person by person

Approvals

  • Course publishing: one chain per Entity; Learn Managers to start with, with levels you add, such as a head of department

Questions

Can a student make a course?

Not today. The Learn Contributor role is for people with a staff login. Students and outside learners use portal logins and cannot have it.

Can a contributor publish once they have many points?

No. Every course a contributor makes goes through review, whatever their points.

Who is told that a course waits for review?

The approvers of the chain get a to-do in the back office, and the course shows under Approvals > Requests > To Approve.
