Tax invoice on a paid order

When a customer needs a GST invoice for a counter sale, the cashier or accounts opens the paid order and clicks Tax Invoice. A posted customer invoice is made with the taxes of each line, and the counter payment is registered on it.
PLANSFrom Growth

The problem it solves

  • A company guest asks for a GST invoice for a team lunch, and the canteen writes one by hand.
  • The handwritten invoice and the counter bill both count the same sale twice in the books.
  • A sale is cancelled after the invoice was given, and the invoice stays in the books.

How it works

  1. The customer pays at the counter as usual, by cash, UPI, card, online or on account. The printed receipt is their bill.
  2. If they need a tax invoice, a cashier or accounts user opens the order under Food Service > Selling > Orders > Orders.
  3. They make sure the customer is on the order, with their GSTIN on the contact, and click Tax Invoice.
  4. A posted customer invoice is made in the Entity's Food Tax Invoices journal, with each item, its price and its taxes. The payment taken at the counter is registered on it; on account, it stays due.
  5. The order shows the invoice. With the daily accounting entry (Scale), the order is left to its invoice, so the sale is booked once.
  6. Reversing the order later reverses the invoice too.

Everything it does

Which orders

  • Paid orders of items paid in full by the customer
  • Paid by cash, UPI, card, online or on account; not by wallet, token, coupon, plan, fee ledger or payroll
  • Not when the company paid part of it (a subsidy), or when it sold tokens or plans
  • Only before the day's accounting entry took the order (Scale); without it, any paid order
  • One invoice per order

The invoice

  • A normal posted customer invoice: invoice date the order's day, origin the order number
  • Each line with the item, quantity, price and the taxes the order used, including parcel GST
  • The money taken at the counter registered on it in the payment mode's cash or bank journal
  • Printed and sent like any other customer invoice

For everyone else

  • The printed receipt is the bill: Entity name, address, GSTIN, outlet, bill number, cashier, items, taxes by name, total and payments

Questions

Can the cashier print a GST invoice at the counter?

The counter prints a receipt with your GSTIN and the taxes. A separate tax invoice in the customer's name is made in the back office with Tax Invoice on the order.

Will the sale be counted twice in the books?

No. With the daily accounting entry (Scale), an invoiced order is left out of the day's entry and booked by its invoice.

Can we invoice a sale paid from the wallet?

No. Only items paid in full by cash, UPI, card, online or on account are invoiced.

What if the sale is reversed later?

Reversing the order reverses its invoice, with the reason.

Does it make an e-invoice?

No. E-invoicing is not part of SmartMy Feast.
