Surplus material sales
Sell what is left in a site store to a scrap dealer, another builder or the client. Fill the sale from the store and confirm it to make the delivery out of the store. Then make the buyer's invoice.
PLANSFrom Growth
The problem it solves
- At handover, leftover steel, cut tiles and cement bags are sold for cash with no record.
- Stock that was sold still shows in the site store.
- Nobody can say what the leftovers fetched.
How it works
- Open Construction > Site > Material > Surplus Sales > New: the project (its site store is picked up), the buyer and the date.
- Press Fill from the Store. Every material with stock in the store is added, with the quantity there, at its sales price, else its cost.
- Change the quantities and prices, and add a note per line such as unused, cut pieces or scrap.
- Press Confirm. Quantities are checked against the store, and the delivery out of the site store is made.
- When the store validates the delivery, the sale shows Delivered. Press Invoice for the draft customer invoice to the buyer.
Everything it does
The sale
- Numbered SS/year/0001
- Project, site store, buyer, date, total, notes
- Lines: material, in the store now, quantity, unit, price, subtotal, note
- Draft, Confirmed, Delivered, Cancelled
- Only a draft is changed; only draft or cancelled sales are deleted
Delivery and invoice
- Confirm refuses a quantity above what the store holds
- The delivery goes from the site store to the buyer; validating it marks the sale Delivered
- Invoice makes a draft customer invoice in the Entity's sales journal, one line per material with its note
- Invoice is possible once confirmed, before or after delivery
- Delivery and Invoice buttons open them; filters Not Delivered and Not Invoiced
- Cancel before delivery cancels the delivery too; Back to Draft after cancelling
What it does not do
- The sale is not taken off the project's cost in the building budget
- No approval chain: a Construction Manager confirms
Who uses it
Construction ManagerMakes, confirms, invoices and cancels surplus sales.
StorekeeperValidates the delivery when the buyer collects.
AccountsPosts the invoice and collects the money.

Questions
Can we sell scrap that is not in the store?
No. A sale is from the site store and is checked against what it holds. Receive or adjust the stock first.Does the sale reduce the project's cost?
No. The material stays as cost in the building budget, and the sale is income through its invoice. Can site staff see surplus sales?
They can read them. Making and confirming a sale is for Construction Managers.Related features
MONEYMaterial requests, orders, transfers and issuesSite staff ask for material from the site or the app, and a manager approves. The request becomes a purchase order to the site store or a transfer from another site. What arrives is issued to the work, a place or a subcontractor. Every order carries the project, cost code and place.MONEYCentral purchase through SmartMy TradeAn approved site material request goes to your purchase desk as an approved indent in SmartMy Trade. The desk compares suppliers and makes the orders there. Every order still belongs to the site: project, cost codes, place, budget check and receipt at the site store.ACCOUNTINGFull accounting with GST returnsKeep the books in the same system as your sites.
