Guard screen and Guard app
One screen shows the guard who is expected, who is waiting and who is inside. One box takes a pass code, a QR, a mobile number or a name. It runs in a browser on any computer, tablet or phone, and as the Guard app.
PLANSEvery plan
The guard page in the browser is built. The Guard app is built and in testing, not in the app stores yet.
The problem it solves
- The guard keeps a paper register and phones reception for every visitor, so the queue at the gate grows.
- Nobody at the gate can say who is still inside or who was expected today.
- A new guard on the night shift does not know about the barrier that sticks or the delivery due at six.
How it works
- The guard signs in at your address ending in /guard, or in the Guard app, and picks the gate. The screen remembers the gate on that device.
- A visitor with a pass shows the QR or says the six-digit code. The guard types or scans it into the box and presses Go; the screen says Pass valid, and the guard presses Let In.
- A visitor without a pass is registered with + Walk-in. If the visitor type needs approval, the card waits under Waiting while the host is asked.
- The tiles show the counts: Expected, Waiting, Inside, Gone Out, and more where your plan has them. Each visitor card has Details and one main button.
- When the visitor leaves, the guard presses Check Out on the card. Scanning the badge QR or typing the gate pass number also works.
- At the end of the shift the guard leaves a note for the next shift under Shift handover (Growth).
Everything it does
The Gate page
- One box at the top for a QR, a six-digit passcode, a mobile number or a name. Scan QR opens the camera; hand-held scanners type into the box
- Buttons + Walk-in and + Parcel, and + Vehicle and Emergency where your plan has them
- Tiles: Expected (invited for today), Waiting (at the gate for an answer), Inside, Gone Out (today). Also Pre-approved, Going Out, Vehicles, Gate passes and Work today where installed
- Visitor cards with the name, kind of visitor, whom they visit and the time. Coloured badges such as Waiting n min, no reply, Overstay and Blacklisted
- A details panel with every fact about the visit, the phone numbers to call, and a link to the record
- Gate activity: what happened at this gate today, newest first
- The page refreshes by itself every 15 seconds, and every 4 seconds while someone is waiting
Other pages for the guard
- Walk-in, Visitor history and Lost and found in every plan
- Parcels, Alerts & panic, Vehicles, Shift handover and the Pre-approved tile from Growth
- Patrol, Incidents, Emergencies and the Going Out tile for exit passes in Scale
- Gate problems with SmartMy Desk, in every plan
- A page is shown only when it is in your plan and the guard's login has access
Who sees what
- A guard sees the visits of the gates they are in charge of, and everyone who is inside
- Reception sees every gate and has the same full screen in the back office under Visitors > Gate > Gate Screen
- A gate shared by several entities shows the visitors of each, marked For and the entity's name
Guards on duty and shift handover (Growth)
- The Guards list on the Alerts & panic page: every guard and reception of the entity, with their gates, on duty first
- On duty means the guard's screen or app was seen in the last 15 minutes; the list shows when and at which gate
- Call a guard with one tap: the phone's dialler opens with their mobile number
- Shift handover: a note for the next shift, handed over to a named guard or the office, with Keep on top for standing instructions
- Notes not yet read show as a number on the page
The Guard app
- SmartMy VMS Guard for Android and iPhone, with the same pages as the guard screen, arranged for a phone
- Opens on the gate screen; the other pages are in the app's menu
- The phone camera scans QR codes; for goods vehicles the app reads the number plate from a photo, and the guard confirms it
- Print badge opens the badge as a PDF in the phone's print or share sheet
- Built for push notifications; push starts once the app is published with its notification set-up
Who uses it
GuardLets visitors in and out, registers walk-ins, and works the pages of their gate on the screen or the app.
ReceptionWorks every gate from the back office gate screen, decides when a host does not answer, and reads the handover notes.
VMS administratorCreates the gates, names the guards in charge of each, and gives logins the Guard access.
Where you use it
- Web: the guard page at /guard on any computer, tablet or phone browser
- Web: Visitors > Gate > Gate Screen in the back office, for reception
- The SmartMy VMS Guard app: the same pages on an Android or iPhone (built and in testing, not in the app stores yet)
- Not a fixed hardware console: any device with a browser and a camera works
What you control
Settings
- Gates: name, short code, kind (Main Gate, Pedestrian Gate, Vehicle Gate or a reception desk) and the Guards in Charge
- Guard access: Visitor Management set to Guard on the user's form
- Host Approval Timeout and When the Host Does Not Answer: Escalate to Reception, or Guard Decides (after calling the host)
- Auto Check-out Time: 21:00 to start with (0 switches it off)
Approvals
- Visitor at the gate: the guard sees the answer on the card. Guards decide only where your site lets them after the host does not answer
Notifications
- Security Alert (Panic): to the guards and reception, by app push, SMS and in-app
- Visitor Asks for a Call: to the gate's guards when a kiosk visitor presses Ask guard to call on intercom. By app push, SMS and in-app
- Lost Item Reported and Found Item Claimed: to the gate staff, by app push, WhatsApp, SMS, email and in-app
- While the screen or app is open, a number on each page shows what waits: visitors, open alerts, unread handover notes
- SMS comes with Growth and WhatsApp with Scale; each person can switch off a channel, such as email, for themselves; in-app notices always arrive
Works with
SmartMy DeskGuards report a broken barrier, scanner or kiosk from the Gate problems page; it becomes a helpdesk ticket for that gate.
Questions
Do we need to buy a tablet or a special console?
