Credit parties pay later at SmartMy POS

With SmartMy POS at the counter and SmartMy Trade in the office, credit parties buy on their account at the till. Trade's credit checks run first, and the sale lands on the party's ledger as an invoice.
PLANSFrom Growth
Built; not yet tried end to end at a customer.

The problem it solves

  • A regular credit party buys at the counter, and the cashier writes it in a book to enter later.
  • The till does not know that the party is over its limit or months behind.
  • Counter credit and office credit are two separate ledgers that never agree.

How it works

  1. Run SmartMy POS at the counter and SmartMy Trade in the same database. The link between them installs itself.
  2. At the till, the cashier picks the party and chooses the pay-later payment method (Customer Account).
  3. A Trade party with credit days may pay later; so may a customer ticked May Pay Later at the Counter.
  4. Before the sale is paid, Trade's credit checks run. They catch a cash-only party, a sale over the credit limit, and bills overdue past the credit days.
  5. If any check fails, the till refuses and tells the cashier why, so they can take payment instead. Otherwise the sale becomes an invoice on the party's ledger.

Everything it does

Who may pay later

  • A Trade party with credit days, or a customer ticked May Pay Later at the Counter
  • Never the register's default customer; the cashier must pick the party
  • A customer ticked May Pay Later with no Trade credit days is not refused as cash only

The checks

  • Cash only: a party with zero credit days (unless ticked May Pay Later)
  • Credit limit: what the party owes plus this sale over its limit
  • Overdue: a bill unpaid longer than its credit days plus the days of grace
  • The cashier sees: Not on credit, with the reasons, and Ask a manager

What it makes

  • An invoice for the sale, with any part paid now booked on it
  • The invoice is on the party's ledger and statement and on the customer portal
  • Payment Due Soon and Payment Overdue messages follow it like any other bill

Who uses it

CashierPicks the party and chooses pay later; is told when the sale is refused and why.
AccountsKeeps credit days and limits right, and follows the invoices in the ledger.
Trade ManagerDecides with the party when a counter sale is refused.

Where you use it

  • SmartMy POS: the pay-later method on the payment screen of the counter
  • Web: the invoice on the party's ledger in SmartMy Trade
  • Not built: a hold for a manager to approve a refused counter sale; the till refuses it
  • Not built: a bill message or payment link sent at the moment of the sale; the reminders carry the link later

Questions

Do we need SmartMy POS for this?

Yes. Without SmartMy POS, credit sales at the counter are quick bills on credit in SmartMy Trade, with the same checks.

What happens when the party is over its limit?

The till refuses the pay-later sale and shows why. Take payment, or a manager raises the limit or settles with the party first.

Is a link to pay sent at the counter?

No. The sale becomes an invoice; the payment reminders send its link before and after it falls due.

Does the counter sale show in the party's statement?

Yes. It is an invoice on the same party ledger, statement and customer portal.
