Payment reminders and payments due

Parties are reminded a few days before a bill falls due, and every week once it is overdue, with a link to the bill. On the other side, Payments Due lists the supplier bills you have to pay.
PLANSFrom Growth
Built; not yet tried end to end at a customer.

The problem it solves

  • Regular customers pay at the end of the month from memory, and some forget.
  • Calling every party about every bill takes a person half the day.
  • A reminder is sent once, the party ignores it, and nobody follows up.
  • Supplier bills are paid late because nobody looked at what falls due this week.

How it works

  1. In Trade > Configuration > General > Settings > Credit Control, set Payment Reminders: the days before the due date when the party is told. Three to start with.
  2. Every morning SmartMy Trade looks at the unpaid customer bills of each entity.
  3. A bill falling due within those days gets one Payment Due Soon message, with the amount left, the bill number and the due date.
  4. A bill past its due date gets a Payment Overdue message, and again every 7 days until it is paid.
  5. Each message carries a link to the bill, where the party can see it and pay online.
  6. For your own bills, Accounts opens Trade > Purchase > Receiving and Paying > Payments Due and pays the supplier bills that are due, several at once.

Everything it does

Which bills

  • Posted customer bills not paid or part paid, of every entity
  • The amount told is what is still unpaid
  • Bills to the cash customer are never reminded
  • The due date is the bill's own due date, set by its payment terms
  • A bill with no payment terms is due on its bill date: give credit parties payment terms to match their credit days

When

  • A daily run early in the morning
  • Payment Due Soon: once per bill, when the due date is within the days set (3 to start with); zero switches it off
  • Payment Overdue: the first morning after the due date, then every 7 days until paid
  • The bill keeps the date of its last due and overdue reminder

Payments due to suppliers

  • Trade > Purchase > Receiving and Paying > Payments Due: posted supplier bills not fully paid
  • Sort or filter by due date and supplier; pay several from the list at once
  • Shown to Accounts and Trade Managers

Related

  • Overdue bills also hold new credit bills to that party when Hold When Bills Are Overdue is on
  • The owner's Today screen in the app shows what is overdue
  • The party sees what it owes and what is overdue on the customer portal

Questions

How often is an overdue party reminded?

The first morning after the due date, then every 7 days until the bill is paid.

Can we remind earlier than 3 days?

Yes. Set Payment Reminders in Credit Control to the number of days you want. Zero stops the before-due message.

Where does the due date come from?

From the bill's payment terms. Set payment terms on each credit party to match its credit days, or its bills fall due on the bill date.

Can the party pay from the message?

The message links to the bill. With online payment set up and a portal login, the party pays there.

Are walk-in cash customers reminded?

No. Bills to the cash customer are never reminded.
