Notifications
Parties hear when a credit bill is made, a payment comes in, or an order is confirmed or dispatched. They also hear when a bill falls due or a cheque bounces. The owner gets the day's summary each evening. Email and the in-app inbox need no set-up; WhatsApp and SMS use your message credits.
PLANSEvery plan
The problem it solves
- Parties say they never got the bill, and the due date passes while the bill sits in a drawer.
- Customers phone to ask whether the goods have left and which transport has them.
- The owner learns the day's sales and collections only by calling each shop at night.
How it works
- Something happens: a credit bill is posted, a payment is recorded, or an order is confirmed. Or goods leave on a challan, a cheque bounces, or a hold is decided.
- The event finds its people: the party on the document and the person who asked for the approval. Also the approvers of the next level, and the Trade Managers of the Entity.
- A message to a party goes on the first channel that reaches it: WhatsApp, else SMS, else email. Parties with a portal login also see it in their inbox.
- Your staff get their notices in the back-office inbox and the SmartMy Trade app, and by email.
- Every message leaves a line in the Delivery Log, with the reason when it could not be sent. An administrator can switch an event off, change its channels per Entity and change the wording.
Everything it does
To parties (every plan)
- Bill Sent: a credit bill is posted; the amount, the due date and a link to the bill. Not for bills paid at once
- Payment Received: a payment from the party is recorded; the amount, with thanks, and what is still due
To parties (Growth and Scale)
- Order Confirmed: the order number, amount and expected date
- Goods Dispatched: the challan, transporter, vehicle and LR number
- Payment Due Soon: once, a set number of days before a bill falls due (3 to start with), every morning's run
- Payment Overdue: a bill unpaid past its due date, then again every week until it is paid
- Cheque Bounced: the amount, the reason and the bounce charges

- WhatsApp and SMS are sent from your message credits, with templates approved for them
- Messaging by plan: email and in-app in Starter; SMS from Growth; WhatsApp from SmartMy's numbers in Scale; your own WhatsApp number as an add-on

People's own choices
- Every Trade event is a work message: it goes out at once, at any hour

Questions
Does every party get a WhatsApp message for each bill?
Only credit bills are sent, on the first channel that reaches the party: WhatsApp, then SMS, then email. Cash bills and the walk-in cash party are not messaged. Can a party stop the due reminders?
A party can switch off a channel, such as SMS, and still get the others. The reminder itself cannot be switched off by the party; you can switch the event off for everyone or one Entity. How do I check whether a party got the bill?
Open Notifications > Delivery Log. Each message shows its status and, when it was not sent, why, such as a missing mobile number.Related features
