Brokers, deals (sauda) and brokerage statement

Mark a party as a broker with its brokerage rule, put it on orders and bills, and record deals (sauda) delivered in lots. The brokerage statement works out what each broker earned in a period and makes the broker's bill.
PLANSFrom Growth
Built; not yet tried end to end at a customer.

The problem it solves

  • Brokerage is worked out at the end of the month from a notebook, and the broker disputes every figure.
  • A sauda for 500 bags is delivered in lots, and nobody knows how many bags are still to go.
  • Brokerage is paid on bills the party has not paid yet.
  • The same bill is counted twice in two months' brokerage.

How it works

  1. Under Trade > Parties > Brokers, add the broker. Set its brokerage: % of value, per unit (bag, quintal, metre) or per deal. It is paid when you sell, buy or both, and earned when billed or when paid.
  2. Record a deal under Trade > Sales > Orders > Deals. Enter we sell or we buy, the party, broker, item, quantity, rate, delivery period and terms.
  3. Put the broker and the deal on the quotation, sales order or purchase order. The bill made from it carries them, and each bill line works out its brokerage.
  4. The deal shows what was delivered (billed) and what is left. It is Done when all of it is billed, or press Close Short.
  5. At month end, Accounts opens the Brokerage Statement, picks the broker and the period, and presses Show. Make Broker's Bill turns what was earned into the broker's bill.

Everything it does

Brokers

  • A party with Broker / Agent ticked; Brokers lists them
  • Brokerage: % of Value (the starting basis), Per Unit or Per Deal, with the rate
  • Paid On: From Us When We Sell, From Us When We Buy, or Both (the starting choice)
  • Earned: When Paid (to start with) or When Billed
  • The broker on a bill, quotation, sales order or purchase order

Brokerage on each bill

  • Worked out on every item line of a customer or supplier bill with a broker, on the side the broker is paid
  • % of value: on the line's value; per unit: on the line's quantity; per deal: once per bill
  • Kept on the line, so a later change to the broker's rate does not change past bills

Deals (sauda)

  • We Sell or We Buy; party, broker, item, quantity, unit, rate
  • Deliver From and Deliver By dates; terms (quality, packing, payment, place)
  • Delivered and Left from the posted bills that name the deal; a Bills button
  • Open, Done (all billed) or Closed Short; filters Open and Late (past Deliver By)
  • A deal is picked on a sales or purchase order of the same party; the bill takes it from there

Brokerage statement and dues

  • Broker and period (this month to start with): each bill with its party, amount, paid status and brokerage
  • Earned: every bill, or only paid bills when the broker earns When Paid
  • Make Broker's Bill: a supplier bill to the broker, one line per bill earned
  • A bill once paid on a broker's bill never shows again
  • Dues by Broker under Trade > Reports: what the parties a broker brought still owe

Questions

Can brokerage be paid only on bills the party has paid?

Yes. Set the broker to earn When Paid. The statement then counts only paid bills; the others wait for a later month.

Can a broker be paid per bag?

Yes. Choose Per Unit and the rate per unit; brokerage is the line's quantity times the rate.

How do we know how much of a sauda is left?

The deal shows Delivered and Left from the bills that name it, and is Done when all is billed. Close Short ends it early.

Can the same bill be paid to a broker twice?

No. Once a bill is on a broker's bill, it never shows on the statement again.

Do returns reduce brokerage?

Not yet. Brokerage is worked out on bills; adjust the broker's bill by hand for a return.
