A public page for each hostel

Each property you choose gets a public web page with its photo, amenities, room types, rent from, the beds free today and an enquiry form. Enquiries from the page land in your desk's list with the source Website.
PLANSScale only

The problem it solves

  • Your listing on a property site shows last year's rent and beds that were taken months ago.
  • People call to ask whether a bed is free, and the desk has to check a register.
  • Website enquiries arrive in someone's inbox and are never followed up.
  • With several branches, nobody can see all of them and their free beds in one place.

How it works

  1. On the property form, Description tab, tick Show on the Public Page. Add a photo, a description, the address with a map pin, the phone and the amenities.
  2. The property is listed at your system's address followed by /hostels, under the heading Hostels and PGs. It shows its type (boys, girls, co-ed), city, photo, amenities and the number of beds free today. Visitors can filter by city.
  3. Each property has its own page: description, address with a map link and phone. It has a table of room types with sharing, AC, rent from and beds free today.
  4. Rent from is the lowest rent of the rent plans for that room type, with its period. Without a fitting plan the page says Ask us.
  5. The visitor fills in the form Enquire / book a visit: name, phone or email, gender, room type, move-in date and a message.
  6. The enquiry arrives under Stay > Front Desk > Enquiries with the source Website, handled by the property's first front desk person (or manager). The desk calls back, plans a visit or books.

Everything it does

The list of hostels (/hostels)

  • Every hostel with Show on the Public Page ticked
  • Each card: photo, name, type, city, amenities, beds free today
  • A full hostel shows Full: join the waitlist
  • City filter from the cities of the listed hostels
  • Listed in the site map for search engines

A hostel's page

  • The hostel's photo and description
  • Amenities; seven come ready: Wi-Fi, Laundry, Mess / Food, Power Backup, CCTV, Gym, Parking
  • Address, a Map link from the hostel's pin, and the phone to call
  • Rooms table: room type, sharing, AC, rent from per period, beds free today (or Full)
  • Free beds are counted live: not blocked, rooms in use, not held by a booking

The enquiry form

  • Name, and a phone number or an email (one is needed)
  • Gender, room type, move-in date from today, and a message
  • A hidden trap field turns away spam robots
  • Each enquiry is written in the enquiry's history as Enquiry from the public page

Book now (a setting of its own)

  • With Online Booking on, room types whose rent plan asks for a deposit or booking fee show Book now
  • The visitor books a bed and pays online; see Online bed booking with payment
  • Room types without such a plan keep the enquiry form

Where you use it

  • Web, public: /hostels and /hostels/<number> on your system's address
  • Web: in SmartMy Stay the app menu is named Stay and Hostels is named Properties; forms, fields and messages still say Hostel
  • Web, back office: the hostel form's Description tab (Show on the Public Page, image, amenities); enquiries under Stay > Front Desk > Enquiries
  • Not a full website: the page has the hostel's photo and facts, not your own design or extra pages
  • Not more than one photo per hostel: the page shows the hostel's main image

What you control

Settings

  • Show on the Public Page: off for each hostel to start with
  • Amenities: seven to start with, add your own under Stay > Configuration > Rooms and Residents > Amenities
  • Online Booking: off; shown once the hostel is on the public page

Notifications

  • No message to the visitor or the desk when an enquiry arrives; it appears in the desk's Enquiries list
  • The enquiry is assigned to the hostel's first front desk person, else its first manager

Questions

Do we need our own website?

No. The page is served from your SmartMy system at /hostels. You can link to it from your own site or your Google business listing.

Is the free bed count up to date?

Yes. It is counted when the page opens, from the bed map. It counts beds not blocked, in rooms in use, and not held by any booking from today on. A bed booked from next month is not counted as free.

Can we show several photos?

Not yet. Each hostel shows one photo, its main image, on the list and on its page.

Will the desk be told when someone enquires?

The enquiry appears in Enquiries with the source Website and the desk person as handler. No separate alert is sent, so keep the Open filter in view.

Can visitors book and pay from the page?

Yes, if you turn on Online Booking and the rent plan asks for a deposit or booking fee. Otherwise the page takes enquiries.
