India SAC codes on rental bills

On an Indian Entity's invoices, rental lines without an HSN/SAC code get one by themselves. They are 997311 for hire without a driver and 996601 for hire with a driver or operator. GST returns and e-invoices then carry the code.

The problem it solves

  • Rental invoices go out with no SAC code, and the GST return needs fixing by hand.
  • Self-drive and chauffeur hire need different codes, and the counter does not know which is which.
  • The e-invoice is refused for a missing code on a line.

How it works

  1. Use SmartMy Rental with Indian accounting for your Entity. The codes switch on by themselves, on every plan.
  2. Set each car or machine's hire use: Dry Hire, Wet Hire, or Dry and Wet.
  3. When a rental invoice is made, each rental line whose product has no HSN/SAC code gets 997311 for dry hire or 996601 for wet hire.
  4. A code set on the product always wins, so set your own code on products that need a different one.

Everything it does

The codes

  • 997311: renting vehicles without an operator (self-drive, dry hire)
  • 996601: renting road vehicles with an operator (chauffeur, wet hire)
  • Chosen from the car's hire use: Wet Hire gets 996601; Dry Hire and Dry and Wet get 997311
  • A car marked Dry and Wet gets 997311 even when it goes out with your driver. Change the code on that invoice while it is a draft

When they are set

  • Only on invoices of an Indian Entity, while the invoice is a draft
  • Only on rental lines, and only when the product has no code
  • Charges and other lines keep their product's code

Check with your tax adviser

  • Machines hired without an operator get the vehicle code too; construction and other machinery may need their own code: set it on the product
  • The codes are a starting point, not tax advice

Who uses it

AccountantChecks the codes and sets product codes where a different one applies.
Counter staffBills as usual; the code is filled in on the invoice.

Where you use it

  • Web: the HSN/SAC column of rental invoice lines
  • GSTR-1 HSN summary and the e-invoice, where you use them

What you control

Settings

  • Hire use on each car or machine: Dry Hire, Wet Hire, or Dry and Wet
  • HSN/SAC on a product: wins over the rental code

Questions

Do we need to switch anything on?

No. The codes switch on with Indian accounting. Set each car's hire use.

We hire out excavators without operators. Which code do we get?

997311, the vehicle code. Construction machinery has its own SAC, so ask your tax adviser and set that code on the machine's product.

Can we change the code on one invoice?

Yes, while the invoice is a draft. A code on the product is the lasting fix.
