Fleet dashboard

Two ready-made dashboards open first in SmartMy Rental. Dashboard shows what is out, what goes out next, what is called off and what is not ready. Fleet shows the yard: ready, on hire, in turnaround, out of service, and papers by type.
PLANSEvery plan

The problem it solves

  • The owner asks how many cars are out and someone counts rows in a spreadsheet.
  • Called-off machines wait on a customer's site because nobody saw the list.
  • Cars sit in turnaround or out of service for days and the fleet looks smaller than it is.
  • Each depot manager keeps their own count and the numbers never match.

How it works

  1. Open Rental. Dashboards come first in the menu: Dashboard and Fleet, shared with every Rent User and Rent Manager.
  2. Dashboard shows four tiles: Out now, To go out, Called off to collect, and Items not ready. Below them, lines by status, items by class, and orders by month.
  3. Fleet shows Ready in the yard, On hire, Turnaround and Out of service, then cars by yard state and papers by type.
  4. Every number is counted as the person looking, so a depot user sees the Entities they work in.
  5. Click a tile or a slice to open the cars or lines behind it, and act on them from there.

Everything it does

Dashboard

  • Out now: lines on hire
  • To go out: lines booked and not yet out
  • Called off, to collect: lines called off and not yet back
  • Items not ready: cars and machines that cannot go out now
  • Lines by status (doughnut), items by class (pie), orders by month (line)

Fleet

  • Ready in the yard: vehicles and equipment in stock and ready
  • On hire; Turnaround (inspection and turnaround together); Out of service
  • Items by yard state (doughnut)
  • Papers by type (pie), of papers still in use

What you can do on a dashboard

  • Date range, refresh and auto-refresh
  • Edit mode: drag and resize items, saved as your own layout
  • Add a number tile, a chart or a list on any data you can see
  • Make a private copy, or set one as your dashboard
  • Administrators share dashboards with groups or named people

Due back and overdue

  • Not tiles on the dashboard as it comes: Bookings > Out and Due has the Overdue, Out Now, To Go Out and Called Off filters
  • The Staff app's Today lists Overdue, Going out, Coming back and Called off, with counts on its Menu tile
  • Add an Overdue tile yourself in edit mode, with a filter on the end date

Who uses it

Where you use it

  • Web: Rental > Dashboards > Dashboard and Fleet, the first menus of the app; also in the Dashboard app
  • The SmartMy Rental Staff app: Today, with counts for going out, coming back and overdue (built and in testing, not in the app stores yet)
  • Not as a file: open the records behind a tile and export the list

What you control

Settings

  • Shared with: Rent Users and Rent Managers, as installed
  • Your own layout, date range and auto-refresh
  • Which dashboard opens for you

Notifications

  • None from the dashboard itself; overdue and due-back messages to customers come with Growth

Questions

Does the dashboard show overdue cars?

Not as a tile as it comes. Overdue lines are under Bookings > Out and Due with the Overdue filter, and in the Staff app's Today. You can add an Overdue tile in edit mode.

Can a depot user see other Entities' cars?

No. Every number is counted as the person looking, inside the Entities they may open.

Does it show idle cars or utilisation?

It shows cars ready in the yard. Utilisation and earnings per car are in profit per car and price hints, with Scale.

Can we add our own tiles?

Yes. In edit mode add a number, a chart or a list on any data you can see. Make a private copy first to keep the shared one as it is.

CUSTOMERSThe SmartMy Rental Staff app for the yardCounter and yard staff run the day from a phone. They see what goes out, comes back, is called off or overdue. They handle each car by QR scan, depot transfers and deliveries. Every handover and return check is done on the phone, with photos, readings, damage and signatures.HIRE ORDERSHire orders from quote to returnEvery hire runs on one order. It starts as a quote and is confirmed with the cars reserved. It goes out through a handover check, comes back through a return check, and is closed once billed. Class bookings get a free car at confirmation, and clashes are refused with the booking named.FLEET AND DEPOTSVehicle papers with expiry datesKeep the registration, insurance, permits, fitness and other papers of every car and machine with their numbers, dates and files. The depot manager is reminded before each one expires, and an expired paper stops the car going out.FLEET AND DEPOTSDepots, yard places and transfers with checksEach depot keeps its own yard: on hire, inspection, turnaround, out of service, in transit and own use. Cars move between those places by themselves as they go out, come back and are checked. You move cars between depots with a check at both ends.FLEET VALUEProfit per car with a keep, sell or buy-more hintFor any period, see each car's rent invoiced, its costs, its profit and how much of the time it was out on hire. A hint says which cars to buy more of and which to think of selling.HIRE ORDERSPlanning board: drag to move, click to bookSee every car and machine by day on one board, with bookings, cars out, call-offs and blocks as coloured bars. Drag a reserved booking to another day or car, and click a free day to start a booking for that car.
