The SmartMy Projects app

Your team's tasks, the timer, time added by hand and the weekly timesheet on Android and iPhone, also without signal. Managers approve the team's weeks on the phone.
PLANSEvery plan
Built and tested against a simulated server; not yet tried on phones against a live system, and not in the app stores yet.

The problem it solves

  • People away from a desk keep their hours on paper and type them in on Friday, from memory.
  • A consultant at a client site with no signal cannot tick off a checklist or start the timer.
  • Weeks wait for approval until the manager is back at a laptop.
  • The team learns about a new task from a WhatsApp message instead of the task itself.

How it works

  1. Each person signs in with their SmartMy login, or a passkey, and the app opens on My Tasks. The Menu holds the same areas as the web: Work and Time.
  2. Under Work > Tasks and Plans > My Tasks, search your tasks, open one to change its stage, tick checklist items, read the subtasks and add a comment. Start Timer is on the task.
  3. Under Time > My Time, start or stop the timer, see the last 7 days, and press + to add time by hand.
  4. Open the weekly timesheet from My Time: projects down, days across. Add a row, fill the hours, then Save or Send for approval.
  5. Managers open Time > Timesheets to Approve, read each week's lines and press Approve, or Send Back with a reason.
  6. Without signal, the app shows what it last loaded and keeps your changes on the phone, marked Waiting to Send. They go in order, at the time you made them, once the signal is back.

Everything it does

Work

  • Projects: yours, or every project for managers, with health, client, manager, the team with roles, and open and done task counts
  • My Tasks: search, open only or all; a task shows its code, project, deadline, stage, description, checklist with required items marked, subtasks and comments
  • On a task: change the stage, tick checklist items, comment, Start Timer
  • A task cannot be moved to a done stage while a required checklist item is open

Time

  • The running timer with Start and Stop; starting a new one stops the one running
  • Timer hours are rounded by your entity's setting
  • Last 7 days: each entry with project, task, what was done and hours
  • Add time: project, date, hours (1.5 or 1:30) and what was done; time on a task comes from the task's timer
  • Weekly timesheet: the grid of the week with its state and hours against your usual hours; Add a Row, Save, Send

Approving

  • Timesheets to Approve for managers when weekly approval is on: person, week, total hours and every line
  • Approve, or Send Back with a reason (required)
  • You see only the weeks your approval chain lets you decide
  • My approvals shows other requests that wait for you, with Approve and Reject

Without signal

  • Every screen shows what it last loaded
  • Moving a task, ticking a checklist item, a comment, starting or stopping the timer and adding time wait on the phone
  • They go in order once the server answers, each once, at the time they were made; up to 7 days back
  • A bar shows how many changes wait, with Send Now, and anything the server refused
  • Saving or sending the week and approving need signal

Notifications

  • An inbox of your in-app notifications, with your own channel settings
  • A notification about a task, a week sent back or a week to approve opens that screen
